Job Summary

The Assistant Division Manager directly supervises three administrative staff and is responsible for managing the administrative operations of the division in conjunction with the Division Manager.  The incumbent’s responsibilities include IT, facilities, education, budgetary financial management, strategic planning, clinical operations, and human resources.  Performs long and short term planning.  Erroneous decisions or failure to achieve goals results in additional costs and personnel.

The Assistant Division Manager is a crucial part of the division’s leadership and provides direction to many of the programs and enterprises within the division and reports to the Division Manager.  The Division of Nephrology is passionate about its expanding the frontiers of basic and clinical investigation in nephrology, training the next generation of academic nephrology leaders and providing the highest level of patient care.  The primary strength of Nephrology Division rests in its people—the faculty, staff, and trainees.  The Division works hard to maintain a culture in which all are treated with respect, and that career aspirations of all our people can thrive.  The Assistant Division Manager plays a central role in maintaining and promoting this culture.

Department Description

The Division of Nephrology is dedicated to delivering outstanding patient care in the diagnosis and treatment of kidney diseases in a premier academic environment. The Division of Nephrology spans across three sites including UCSF Medical Center, the San Francisco Veteran Administration Health Care System and the Zuckerberg San Francisco General Hospital. All are unified in their commitment to diversity, inclusion and equity across patient care, education, and research and in our central mission to foster an environment of discovery, innovation and excellence for our faculty and fellows.  The ZSFG Division of Nephrology has 8 faculty and 45 staff with annual expenditures of $7.8M.

Required Qualifications

  • Bachelor’s degree in related area and minimum five year experience or equivalent combination of experience / training.
  • At least two years of experience managing high performing employees.
  • Advanced proficiency with Microsoft Office Suite, including Excel, PowerPoint, Teams, and Word.
  • Advanced skills in short- and long-term strategic planning, analysis, problem-solving and customer service.
  • Ability to use discretion and maintain confidentiality.
  • Advanced knowledge of a variety of administrative operational activities such as human resources management, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.

Preferred Qualifications

  • Graduate degree in business, healthcare, or related field.
  • Advanced knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
  • Advanced knowledge of common University-specific computer application programs.
  • Advanced knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
