Assistant Director of Scheduling and Event Logistics, Office of Event Management – Georgetown University Law Center

The Assistant Director of Scheduling in the Office of Event Management is responsible for all procedures related to room/event scheduling, academic class scheduling, master calendar, data analysis, and EMS system functions. They oversee the day-to-day function of EMS, the centralized room reservation system, and works closely with numerous law center stakeholders to ensure that reservation requests follow protocol while ensuring that academic priorities are met.

The Assistant Director coordinates the process with the Office of Academic Affairs to schedule academic classes each semester, working closely with the Deputy Director of Events to keep the Events Calendar up to date; and analyzes relevant data related to space usage and recommends strategies to ensure successful events.

They coordinate with various internal stakeholders, including A/V, facilities, public safety and others throughout the event planning process.

The Assistant Director supervises the Coordinator of Scheduling and Event Logistics.

Work Interactions

As events at the Law Center have increased significantly in number and have often become larger and more complex, the space scheduling function has become a critical piece in creating a more streamlined and organizationally sound system for internal constituents to request space for programs and events. In addition, there is an increasing need to work very closely with many internal stakeholders, including A/V, Facilities, and Public Safety and the complex nature of the process for scheduling space and confirming events has created the need for a cohesive and efficient process.

Reporting to the Deputy Director, the Assistant Director of Scheduling and Event Logistics plays an integral part of ensuring the success of the room/space scheduling process at the Law Center. They have daily contact with faculty, staff and students who are requesting space to host a variety of events and academic conferences and programs.

The Assistant Director works closely with the Deputy Director to oversee issues related to EMS data analysis, internal communications, and events calendar.

They help ensure that events and academic programs are expertly managed from inception to execution; and communicates events back to the internal and external community through use of the master calendar.

Qualifications

  • A four-year college degree
  • 2 to 4 years of work experience in a professional setting – preference for an educational environment.
  • 3 to 5 years of experience that illustrates organizational ability, attention to detail, and strong interpersonal skills
  • Adept at juggling competing demands along with superior communication and organizational skills to meet the needs of the community
  • Ability and experience dealing with multiple, demanding, and sometimes conflicting constituents
  • A high degree of professionalism, attention to detail, and responsiveness
  • Excellent computer skills and a willingness to learn new applications – preference for familiarity with Event Management Software
