Position Overview This position is responsible for the supervision of financial aid packaging and works with the Director of Financial Aid to plan, implement and evaluate our strategic packaging plan in the Student Financial Aid office to ensure program integrity and delivery of services. Additionally, this position is responsible for daily coordination and supervision of daily processes as well as overseeing the awarding and disbursement of federal, state, and institutional student financial assistance funding. It is also responsible for creating and maintaining written policies and procedures used by financial aid counselors to award and disburse financial aid funds to students.
Unit Overview The University of Idaho Strategic Enrollment Management Division (SEM) assists students academically and financially to pursue their educational goals. We believe that learning never stops. University of Idaho can help learners continue their education face to face, online, while in high school, as a next step from secondary school, or for professionals who wish to continue to advance their education. SEM departments include: Admissions Processing, Admissions Recruitment, Academic Advising, Academic Support Programs, Career Services, Enrollment Management, International Programs Office, Military Programs, Registrar, and Student Financial Aid Services.
The Student Financial Aid Services team supports students’ learning objectives by helping them find ways to fund their education. We counsel students through the financial aid process and ensure compliance with aid regulations.

Position Responsibilities

Key Accountability Manage financial aid packaging by:
Job Duties
  • Coordinating the review and processing of pre and post packaging reports;
  • Training and coordinating the work of counseling staff to complete all of the pre and post packaging report;
  • Ensuring the packaging strategy is fully implemented, trained and tracked for integrity to help us meet our enrollment goals.

Key Accountability Provide current and technical expertise in student financial aid by:
Job Duties
  • Maintaining current knowledge of federal, state, and institutional regulations;
  • Creating and maintaining policies and procedures involving office procedures and federal, state and institutional regulations;
  • Presenting professional presentations to both internal and external groups regarding financial aid information;
  • Managing the awarding, disbursement and reconciliation of federal, state and institutional financial aid funds to students using the Banner system;
  • Assist with annual audits.

Key Accountability Maintain the compliance and integrity of programs by:
Job Duties
  • Bringing issues and solution options to the attention of the Director;
  • Assuring all programs meet regulatory requirements;
  • Participate in professional development through professional associations;
  • Checking the work of others to assure quality and consistency;
  • Assisting in the preparation of institutional, state and federal automated reports (including Title IV reports).

Key Accountability Coordinate reporting and compliance by:
Job Duties
  • Overseeing campus-based awarding, tracking and reporting. Regularly reviewing budgets throughout the year to ensure we meet our awarding targets. Develop strategies when we are not on point for spending within regulatory limits.
  • Reporting the results at the end of the cycle.
  • Ensuring office compliance with Title IV regulations with regular review of Department of Education regulatory updates.
  • Supporting staff and office leadership in interpretation and implementation of regulatory updates.

Key Accountability Performing additional duties as needed and assigned to enhance the Student Financial Aid team by:
Job Duties
  • Representing the Director in their absence;
  • Filling in for absent staff members;
  • Development of office policies and procedures;
  • Advising in the management of the office.

Key Accountability Work on teams throughout the University to promote, recruit, and retain students at the University of Idaho by:
Job Duties
  • Working with other student services areas;
  • Assisting in the recruitment and retention of students.

Position Qualifications

Required Experience
  • 2 years’ experience in student financial assistance at a professional level.
  • Previous supervisory experience in a professional setting.

Required Education
  • Bachelor’s degree
Required Licensures, Certifications or other
Additional Preferred
  • Master’s degree.
  • Experience in supervising full-time staff in a student financial aid office in higher education;
  • Experience as a director, associate director, assistant director, or counselor/advisor in a student financial aid office in a large institution.
  • Demonstrated strong organizational skills.
  • Ability to communicate articulately; work cooperatively and harmoniously with staff and students; organize and supervise staff.
