Job Description:

GENERAL STATEMENT OF DUTIES:

Responsible for the management of all advancement services operations at Framingham State, including gift processing, database management, constituent tracking, prospect research, and financial reporting. A vital partner in the University’s fundraising success, the Assistant Director will work closely with colleagues in development, annual giving, donor relations, and alumni relations and will lead the implementation, management, and training in using information tools and technology supporting all fundraising processes.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Manages the accurate and timely processing of all gifts and pledges to the University, and the production and mailing of acknowledgement letters.
  • Works with the University’s Business Office and the FSU Foundation’s accountants to produce a complete and accurate monthly reconciliation and accounting of all gifts and payments.
  • Accesses data and uses analytics to track fundraising success and identify prospects.
  • Works closely with the Vice President for Development & Alumni Relations and the Executive Director of Development & Alumni Relations to establish consistent systems for the effective, proactive identification of individuals with significant giving capacity.
  • Establishes and maintains a process for the allocation of new prospects to Development Officers.
  • Updating the monthly Development Officer dashboard report.
  • Manages a “moves management” system that drives mutually-agreed upon cultivation and solicitation strategies for donors and prospects.
  • Works with Development Officers to create annual plans for all prospects, and ensures all moves and contact reports are entered into the database in a timely manner.
  • Produces regular reports on the status of prospects and major and planned gift donors for Development Officers.
  • Manages and leads the quarterly portfolio review meetings with Development Officers to update donor management plans, assist with re-tiering, and recording status updates
  • Developing and updating a fundraising pipeline report based on the quarterly meetings.
  • Serves as manager of the development database system (currently Raiser’s Edge) and is responsible for the creation and enforcement of all policies and procedures related to the management and use of the system, as well as user access management, and helping the team use the system to its full capacity through regular in-service training.
  • Performs continual maintenance of data stored in the database and ensures data integrity through ongoing updating of historical, biographical, prospect, and other information about constituents.
  • Provides data, reports, and lists to the Vice President, Executive Director, and Development Officers, ensuring efficient turnaround on all requests.
  • Keeps abreast of leading and emerging Advancement Services trends and provides strategic approaches to improve current and future advancement activities.
  • Performs other duties as assigned.

Requirements:

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree.
  • 3+ years of experience in development, database management, and/or alumni relations
  • Strong quantitative and analytical skills, including the ability to understand financial records.
  • Exceptional organizational skills including the demonstrated ability to effectively handle multiple tasks while paying close attention to detail.
  • Excellent verbal and written communications skills; creativity, initiative and independence in carrying out responsibilities; demonstrated planning, leadership, personal approachability, teamwork and organizational skills.
  • Proficiency with databases and spreadsheets.
  • Proven ability to work effectively as part of a team and take the lead on certain projects.

PREFERRED QUALIFICATIONS:

  • Experience with Raiser’s Edge preferred.
  • Knowledge of fundraising and alumni relations in higher education preferred.


Additional Information:

This is a full-time, exempt, benefits-eligible position in the Association of Professional Administrators (APA) bargaining unit with a title of (Assistant Director). The salary range is $56,000-60,000.
