JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Alumni Association seeks a dynamic, caring, energetic, self-directed, and thoughtful team member for the role of Assistant Director of Alumni Events. This individual will work independently and/or collaboratively to plan and manage the execution of events and activities for in-person, virtual, and hybrid approaches. Such events and activities include, but are not limited to reunions, Homecoming, presidential receptions, athletic pep rallies and receptions, alumni networking events, educational and recognition events.
Responsibilities include developing and adhering to timelines and budgets, participate in department strategic planning, overseeing contract approvals, collaborating with other units or staff in planning or implementation, recruiting and managing volunteer committees, disseminating information, supervising onsite set-up and changes, and troubleshooting. The Assistant Director will also research, prepare and edit informational materials to be used in promotions and scripts, compile data collected from event evaluations, conduct post-event audits, and produce summary reports. This position may coordinate events held at the Hintz Family Alumni Center.
This role requires attention to detail and excellent communication skills. Prior logistical planning experience to include attendee registration, venue search, contract negotiations, food and beverage, audiovisual, room set ups, speaker management and housing blocks is required. Must be able to coordinate, direct and supervise the activities of volunteers or work teams. Weekend and evening work, as well as overnight travel is required.
TYPICAL EDUCATION & EXPERIENCE
Typically requires a Bachelor’s degree plus four years of work related experience, or an equivalent combination of education and experience. The ability to lift 30 lbs. with or without accommodation. Previous experience with Word, Excel, IBM Notes, and event registration and production tools is highly desirable. Certified Meeting Professional (CMP), Certificate in Meeting Management (CMM) or Certified Special Events Professional (CSEP) designations encouraged or in process of working towards certification.
