Assistant Director, Engagement and Annual Giving

Job Description Summary

The Assistant Director, Engagement and Annual Giving will support the Office of Annual Giving and the Office of Alumni and Family Engagement (OAFE) with all communications, programmatic support and event operations.

Essential Duties

Office and Event Operations

  • Serve as the office manager for the Office of Annual Giving and the Office of Alumni and Family Engagement, including ordering office supplies, submitting work orders for office maintenance, keeping storage closets and areas organized and stocked, collecting, and distributing mail, etc.
  • In partnership with the Director, create programming for alumni, families and friends that serves to connect constituents of all different backgrounds back to Bentley. Work to highlight and promote the great work and success stories of alumni and faculty and run existing virtual programs like the Alumni and Family Book Club
  • Prepare event nametags, lists, supplies and/or other general event coordination assistance
  • Assist with logistics and space/vendor contracts as needed
  • Build and share streamlined processes for data collection and organization including training manuals and guides; Assist with reporting and data analysis
  • Process and actively track all event registrations in the Advancement CRM
  • Attends local events to assist with on-sight coordination and registration
  • Develops event briefings and event attendee reports for leadership team and president

Communications

  • Serve as a primary point of contact interfacing with all constituents, prospects, donors, as well as University officials, administrators, and colleagues across the division.
  • In charge of answering inquiries from constituents by phone/web and the general email accounts
  • Serve as the strategic thought leader and primary project manager for a number of digital platforms, including iModules/FalconNet and Evertrue, to increase alumni interest in university programs. Develops recommendations for digital engagement opportunities
  • Manage the annual giving acknowledgement letter process to include printing, scanning, and coding all correspondences.

Minimum Qualifications

  • Bachelor’s degree required.
  • Minimum 1-3 years of relevant work experience or equivalent combination of education and experience.
  • Must be fully proficient in MS Word, Excel, and PowerPoint.
  • Demonstrated aptitude for learning new systems and ability to manipulate and analyze data to inform department decision-making.
  • Strong writing skills and highly effective interpersonal communication skills are required.
  • Attention to detail, ability to manage ongoing and multiple responsibilities, and strong work-ethic and driven.
  • Ability to complete projects on time and report on status and progress
  • This person will interact with senior university staff, donors, external constituents, and vendors, so must have the highest level of customer service.
  • Collaborative and collegial approach to working with teams; ability to work both independently and as part of a team

Preferred Qualifications

  • Higher education development experience or non-profit related experience
  • Demonstrated technical literacy with a constituent database/iModules and ability learning, mastering, and communicating about system functionalities with colleagues

Work Environment

  • Ability to travel within and outside of campus for meetings and other work related events, travel may occur outside of normal business hours including nights and weekends
  • Typical office setting with extensive sitting and computer work
