Assistant Director (Clinical Psychology)

General Summary: 

Assists the faculty Graduate Program Director by overseeing the day-to-day operations of the Clinical Psychology Doctoral Program, one of two doctoral programs in the Department of Psychology of the College of Liberal Arts. Responsibilities: to maintain, compile, and share information about faculty, students, and alums needed to maintain program accreditation; to maintain records of faculty activities and student progress as required for university, accreditation, and licensure; to implement the admissions process; to prepare and manage program budgets; to complete purchasing; to plan and organize program events (including some which occur outside of business hours or on weekends); to coordinate the work of the program’s leadership committees; to provide administrative support and guidance to graduate students as they navigate the university procedures; to prepare the program newsletter, website, and other communications independently for the Director’s approval; to organize the course evaluation and qualifying examination processes; to coordinate administrative elements of student hiring (including meeting Union and Human Resources documentation requirements), student grants and fellowships, student practica and internship placements, student awards, fundraising, and in other domains as assigned. Work collaboratively with other Psychology Department staff. Serve as a program liaison to other offices on campus, including Accounting, the Bursar, Financial Aid, the Registrar, the Office of the Dean of the College of Liberal Arts, the Office of Graduate Studies, and the Office of Research and Sponsored Programs. Supervise student administrative support when available.

Examples of Duties: 

Program Accreditation and Ongoing Self-Assessment

  • Maintain records of faculty, staff, alumni, and program activities as needed to maintain program accreditation by the American Psychological Association.
  • Compile and submit the required information annually and for periodic re-accreditation cycles, AQUAD review, funders, and internal annual report processes.
  • Maintain graduate program alumni relations and correspondence.

Record Keeping

  • Meticulous record-keeping is required as evidence of student progress and faculty and program activities.
  • Maintain, compile, and distribute summaries of student, faculty, and program data as required for university, accreditation, and licensure processes.

 Admissions

  • Implement the admissions process, including all administrative elements: advertise the program, maintain databases, update the website, respond to applicant queries, organize/document/track the review process, schedule interviews, organize decision meetings, notify applicants of their admissions decisions.

Budgets, Purchasing, & Financial Management

  • Prepare a budget for the Director’s approval annually (or more frequently, if needed).
  • Manage program budgets and make all program-related purchases.
  • Manage procurements through the use of a university ProCard, which requires maintaining a ProCard log and reconciling all purchases.

Event Coordination

  • Independently plan and organize program events (schedule, publicize, set-up/clean-up), some of which occur outside of business hours or on weekends.
  • Examples of annual events include new student orientation, admissions interview days, and beginning and end-of-year program potlucks, as well as faculty colloquia, student dissertation defenses, etc.

Communications

  • Prepare the program newsletter, website, and other communications independently for the Director’s approval.
  • Elicit content from students, faculty, and alums and present it in an organized and visually appealing manner.
  • Update content regularly.

Program Governance Support

  • Support the work of the Clinical Executive and Clinical Program Committees (the program’s decision making bodies) by organizing meeting logistics, taking and maintaining meeting minutes, and following-up on action items, as assigned.

 Graduate Student Support

  • Provide administrative support and guidance to graduate students as they navigate the university procedures, which requires detailed knowledge of university policies, procedures, and the organizational structure.
  • Assist graduate students with all questions regarding program and university policies and procedures, having courses transferred/replaced/waived, administrative items needed for thesis or dissertation completion, teaching assistantship requirements, and similar items.

 Administration & Coordination with On- and Off-Campus Offices

  • Prepare, manage, and track successful acceptance of all student hiring documentation (offer letters, stipend contracts, etc.) in compliance with the graduate employee union and University/Human Resource policies.
  • Coordinate administrative elements of student grants and fellowships, student practica and internship placements, student awards, fundraising/development, and in other domains, as assigned.
  • Work collaboratively with other Psychology Department staff. Serve as a program liaison to other offices on campus, including Accounting, the Bursar, Financial Aid, the Registrar, the Office of Graduate Studies, and the Office of Research and Sponsored Programs.

Organize Course Evaluation and Qualifying Examination Processes

  • Oversee the qualifying exams process each year; collect all exams from students and assign them to faculty to grade; compile feedback from all faculty into one document per student and release grades and feedback to students.
  • Organize the course evaluation process for Clinical Psychology Doctoral Program courses. Print and distribute course evaluations; compile and score completed evaluations; distribute evaluation feedback to faculty members; prepare summaries of course evaluation data for ongoing curriculum self-assessment and personnel reviews.

 Supervise Administrative Support Staff

  • Oversee periodic work-study or graduate student assistants.

Other Duties

  • Become or maintain status as a Notary Public to notarize official documents for faculty and students as needed for licensure applications and similar processes.

Additional duties, as assigned.

Qualifications: 

Bachelor’s Degree and a minimum of five to seven (5-7) years of professional work experience in an academic or equivalent departmental setting, which must have included one year of financial management experience, is required. Master’s Degree in higher education administration or a related social science discipline is preferred.

Preferred Qualifications :

  • Familiarity with and experience with accreditation issues and graduate education is preferred.
  • Familiarity with and experience with academic and student affairs issues and their resolution is preferred.
  • Familiarity with and experience with union and human resources processes is preferred.

Knowledge, Skills and Abilities :

  • Knowledge and advanced skill in the use of Microsoft Office, as well as other administrative systems including Google docs, Adobe Acrobat, and PeopleSoft;
  • Ability to work independently and with other central administrative units of the college and university;
  • Ability to understand and apply university policies and procedures;
  • Ability to maintain accurate records and to prepare summary reports;
  • Ability to be flexible and meet changing demands;
  • Strong oral and written communication skills;
  • Strong financial management skills;
  • Strong organizational skills;
  • Strong commitment to customer service.
