Job Description

This position requires a highly motivated leader with a passion for student success and a strong focus in advancing higher education initiatives, while providing hands-on support and services that enhance student experiences and outcomes. As a key member of the school’s staff leadership team, and with minimal supervision, this position performs work of considerable responsibility and leadership, administering services and a broad set of programs that provide support to the mission of the school and the school’s faculty, staff, and students. This position specifically directs the student and academic services and support functions for the school, including undergraduate advising and support services across degree programs within the school. This position will also coordinate with and support graduate programs as appropriate.

Essential Duties

Administration

  • Leads the academic team, overseeing daily operations. Supervises academic advising, recruitment/retention, professional development services for students, and student support programs; undergraduate studies

  • Manages projects as well as long range planning and design, working with the School’s directorate, staff leadership, and academic administrators.  Instrumental in crisis management and resolving sensitive issues involving students

  • Initiates and prepares administrative reports to ensure proper and timely assessment of program initiatives

  • Coordinates student services information communicated in print and on the web, i.e. newsletters

  • Supports undergraduate faculty committee by attending meetings, identifying critical actions, and preparing agendas and reports

  • Serves as a representative of the school at state, regional and national organizations, boards, councils and college/university committees as assigned, in the areas of advising and student services. Acts as liaison with the community including local educational institutions

Management

  • Direct supervision of Manager of Academic Advising, Academic Programs Coordinator, Career Development Specialist and Instructional Designer including the hiring, planning, scheduling, training, coaching, supervising and evaluating of performance
  • Develops work plans, policies, and reports in accordance with established department objectives

  • Works with assigned staff in career development and develops performance plans for staff in need of improvement. 

Academic Curriculum and Course Planning

  • Facilitates implementation of curriculum goals and objectives established by the school’s directorate, faculty, and academic personnel

  • Centrally tracks all key data related to undergraduate education, including FTEs, majors, time to graduation, retention

  • Reviews and manages updates to academic catalog, major maps, DARS reports

  • Assists with degree program assessments and accreditation review

  • Provides input and guidance with course fees, EdPlus coordination, planning, and online strategies

Recruitment/Retention, Outreach and Events

  • Provides leadership and support of recruitment and retention initiatives

  • Oversees student events throughout the year including TA training, convocation/commencement ceremonies, award programs, welcome events and support of related student organizations

Student Support Services

  • Oversees all student-initiated processes and manages the coordination of student services; course registration, graduation processing, petitioning, program documentation, general concerns, enrollment issues, degree paperwork filing, cross-listings, grade changes, and incomplete grade requests

  • Performs need assessment; develops recommendations; implements and takes appropriate actions.

  • Provides oversight of staff liaisons to student organizations

Minimum Qualifications

Master’s degree in a related field, AND four (4) years experience in one or more of the following: advising, recruitment/retention, other related student services in a college/university environment, which includes two (2) years of supervisory experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Evidence of effective communication.
  • Experience in establishing and maintaining effective working relationships.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse

  • Required to stand for varying lengths of time and walk moderate distances to perform work

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds

  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts

  • Communicate to perform essential functions

  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop(keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals

The School of Geographical Sciences and Urban Planning (SGSUP) is a major participant in the instructional and research activities of Arizona State University. We staff team of 19 supports 37 tenure/tenure-track faculty including three members of the National Academy of Sciences, over 1000 undergraduate majors (split between campus and online) and 200+ graduate students studying in one of five graduate degree programs (MA and PhD programs in Geography, a PhD in Urban Planning, a Masters in Urban and Environmental Planning and a Master of Advanced Studies in Geographical Information Systems(with more on the way) as well as graduate certificate programs in GIS and transportation.  SGSUP has grown quickly in the past year, especially via online enrollment, and more new programs are due to launch on-campus and online in the next two years.
