Position Title: Attendance Secretary – Administrative Assistant IIDepartment: Aspen High SchoolReports to: Aspen High School PrincipalClassification: Classified Full-time Non-exempt/HourlyContract Period: 10 Month (203 days with some variance depending on the year)ASD offers district funded employee and dependent health benefits including medical, vision, dental, and life insurance to benefit eligible employees. Other benefits include (as eligible): paid leave, CO PERA (pension plan) enrollment with district contribution, TSA options, free transportation for employees from Carbondale to Aspen, employee assistance program, wellness program, and supplemental insurance (ie cancer, disability, etc).Position SummaryThe Attendance Secretary Administrative Assistant II position is to communicate with and register all new and returning students, maintain attendance records for students and staff, contact and secure authorized substitutes, act as receptionist for building greeting visitors and providing necessary badging, have a working relationship with custodians to maintain a clean and functioning building for all employees, assist principals as needed and provide assistance within the school office to ensure a positive impact upon the education of elementary school students.Position ResponsibilitiesAttendance Secretary Administrative Assistant II Responsibilities:

  • Submit extra duty pay requests for teacher substitutes
  • Manage building sub use and record keeping
  • Translate Documents, assist in meeting with spanish speaking parents
  • Assist parents with new/returning student enrollment onsite.
  • Report Illness/Covid cases to school nurses
  • Students Detention/lunch duty
  • Maintain accurate student and employee attendance in the database, issue tardy slips, contact parents, send out absence forms to parents as requested and perform follow-up procedures/record keeping for unverified absences
  • Acquire and maintain accurate statistical information in the database of school and state reports and identification numbers for students
  • Create and maintain student cumulative folders, including record requesting and withdrawal state forms; send records to middle school as students move up; work with preschool directors regarding incoming students
  • Provide paperwork packets for local preschools for kindergarten registration
  • Create and manage school calendar and teacher/student schedules in school database system
  • Manage enrollment database maintaining current student/parent information
  • Answer phone calls and intercom system at front door to greet visitors and assist as needed
  • Assign visitor badges and maintain Raptor badging system
  • Work with custodians to ensure interior/exterior of school is clean and safe as needed
  • Contact, assign, and assist substitute teachers and maintain teacher emergency substitute folders
  • Create and maintain announcement book for principals with pertinent information for daily announcements
  • Create and maintain front office and staff bulletin boards, assist the assistant principal with all other school bulletin boards as needed
  • Assist PTO with selling AHS spirit-wear and setting up school tours for parents and students
  • Create and maintain teacher and student logout books for field trips or early dismissal
  • Maintain front office materials (e.g. school radios, Lost and Found, Parking stickers for employees and visitors, office supplies, etc.)
  • Assist principals with class list spreadsheets and provide updated class numbers as needed
  • Create and maintain AHS Division of Branches phone and location spreadsheet for staff
  • Assist with mail distribution in teacher lounge
  • Clean and maintain teachers lounge
  • Assist bus drivers in the am and pm with students as needed getting on and off the bus
  • Provide bus drivers and parents with bus permission forms and maintain logbook of forms
  • Assist students with after school plans on buses or parent pickup
  • Familiarity with or ability to learn Traversa, Ride 360 app, and PowerSchool systems to look up student and parent/guardian information, send out messages, pull various reports from Traversa, and communicate any route changes to stakeholders.
  • Communicate clearly and concisely to stakeholders regarding missing students, students on wrong buses, accidents, vehicle breakdowns, missed stops, parents/guardians not at stops to pick up students.
  • Stay with students at school until parents come to pick them up if bus returns them

  • Bilingual Spanish is a plus;

Minimum Qualifications

  • High School diploma or equivalent
  • One to three years of relevant office experience
  • Operation and use of modern office equipment including a computer, printer/copier and various software packages
  • Valid Colorado driver’s license or the ability to obtain one within 30 days of hire.

Preferred Qualifications

  • Three years or more of relevant experience in public education (preferred), government, or other public sector settings.
  • Spanish bilingual

Work Environment

  • Office environment and reception; exposure to computer screens
  • Primary functions may require maintaining the physical condition necessary for sitting for prolonged periods of time; use of a computer keyboard

Essential Physical Requirements

  • Physical: Reaching, walking, standing, sitting, typing, talking, stooping, kneeling, seeing, and hearing. Lifting up to 25lbs.
