Description of Work Unit At the VTH, we exist to educate the next generation of veterinarians by providing exceptional veterinary care and service to the community every day. The Orthopedic Medicine & Mobility Department’s mission is to provide clients with prevention, diagnostics, and non-surgical treatment options for their pets. We aim to improve quality of life for companion animals of all ages by restoring mobility, alleviating pain, and improving fitness. The Mobility/Physical Therapy section of this department provides clinical evaluations, treatments, and home plan for patients ranging from critical care inpatients to elite canine athletes while providing clinical education to students, interns, and residents.

Position Summary The CSU Veterinary Teaching Hospital Physical Therapy Department is seeking an organized and detail-oriented administrative assistant ten hours per week. Duties include patient scheduling, emailing pre-appointment surveys, uploading surveys into the electronic medical record, sorting the email box, printing treatment plans, responding to some client phone calls and emails, and posting veterinary student physical therapy clinical rotation information. Task responsibilities may increase if completion of these basic tasks is exceptional. This position is for a candidate who enjoys the feeling of making a positive impact on the lives of humans and their pets, is adept at interfacing with technology, and is interested in working in the veterinary teaching hospital.
Position will be required to work 2 hours/day, Monday – Friday, prefer mornings but can be flexible for a candidate who exceed expectations.

Essential Job Duties

Duty/Responsibility The physical therapy department receives between 25 and 50 emails per day. The content of these emails’ ranges from scheduling to client questions, to internship questions, to meeting notifications. To optimize department efficiency, the email box is sorted into folders that produce tasks lists. The role of the administrative assistant is to sort the email box.

Duty/Responsibility The physical therapy department treats 75 patients per week. Outpatient visits are self-scheduled through an on-line scheduler. These self-scheduled appointments must then be added to the electronic medical record (EMR) by the administrative assistant.

Job Duty Category Appointment Surveys
Duty/Responsibility Once appointments are scheduled in the EMR, pre appointment surveys are emailed to clients. Once completed by the client, they are returned by email and must be uploaded to the EMR by the administrative assistant.
At the completion of the appointments, a post appointment survey is emailed to the client. Once completed by the client, they are returned by email and must be uploaded to the Teams folder by the administrative assistant.

Duty/Responsibility Each day, the physical therapy department sees approximately 12 outpatients. To optimize efficiency, the treatment plans for each patient is printed before the patients arrive. The administrative assistant is responsible for printing daily treatment plans.

Duty/Responsibility Most client communications are completed by the physical therapist and rehabilitation technicians, but a small number of communications to clients, primarily related to rescheduling, are completed by the administrative assistant.

Duty/Responsibility Every two weeks, 4th years students rotate through the rehabilitation department. To optimize their learning experience, they are provided with rotation information the week before their rotation begins. This information is shared via email and Teams by the administrative assistant.
