As Alumni & Stakeholder Engagement Coordinator you will be responsible for delivering a portfolio of innovative engagement and volunteering initiatives for King’s Business School alumni community that connects recent graduates and current students. Reporting to the Alumni & Stakeholder Engagement Manager and working closely with colleagues across the faculty, you will be creative in your approach, providing a range of opportunities for alumni volunteering, mentoring and career development opportunities to support the student experience and career activities. You’ll have the opportunity to deliver projects from start to finish, setting goals, measuring success, and evaluating impact of activities.  

A key element of this role is to build meaningful relationships with both students and recent graduate and create a positive experience as they start their life-long journey as a proud King’s Business School alumni. From graduation celebrations to speed networking events and socials, you will deliver a portfolio of recent graduate engagement activities that will encourage recent graduates to volunteer and support the School’s strategic goals. The role will also deliver webinars, mentoring and networking events designed to support the professional development of recent graduates as alumni navigate their careers and further education.  

The successful candidate will bring excellent organisational and project management skills combined with set goals, evaluate impact, and make recommendations for improvement. They will need to be a great relationship builder and confident communicating with a range of internal and external stakeholders.  

You will be part of a dynamic External Engagement Team within King’s Business School with a dotted line to the College’s Fundraising and Supporter Development, Alumni & Supporter Development Team. The post-holder will need to demonstrate ability to build effective relationships and projects across both departments.  

This post will be offered on an indefinite contract 

This is a full-time 100% full time equivalent

Key responsibilities

Organise and deliver a portfolio of King’s Business School (KBS) alumni and stakeholder engagement events in the UK and international, including workshops, webinars, speed networking, networking receptions, and graduation celebrations (in-person and digital). This includes:

  • Coordinating all steps of events planning and delivery
  • Working with data and communications teams to segment key audiences and promote events, programme and engagement/volunteering opportunities through targeted mailings and social media
  • Managing registrations and monitoring sign-ups against targets
  • Liaising with suppliers (catering/venues/print providers/photographers etc)
  • Liaising with Comms Team to produce event design and materials which are in line with the King’s and King’s Business School branding guidelines (merchandise, banners, programme, brochures etc)
  • Recruiting, briefing and supervising staff volunteers and student ambassadors as needed
  • Creating a clear journey for event attendees and identifying their next engagement step
  • Capturing audience and volunteer insights and feedback through debriefing and post-event surveys
  • Setting event objectives, evaluating, and refining future events to continuously improve results

Co-ordinate alumni and stakeholder volunteering and engagements to support School led activities through:

  • Identify alumni volunteers (recent graduates) to support School led activities including classroom speakers, speed networking participants, alumni profile contributors and recruitment activities etc
  • Working closely with Marketing and Communications Teams to support recent graduate engagement in recruitment and alumni storytelling
  • Building relationship with recent graduates and encouraging alumni to support student events including Student Prize Giving Award and Welcome Events
  • Developing relationships with Student Experience Team, King’s Business School Careers & Employability Team, academic staff, relevant student societies and groups to ensure that opportunities to build networks with future alumni ambassadors are maximised
  • Promote benefits of the alumni community and network to current students at Goodbye KBS, Welcome Week activities and Graduation celebrations
  • Researching and contributing new ideas for alumni volunteer initiatives, with a focus on those which enhance the student experience at King’s Business School
  • Manage Programme-led LinkedIn groups with member registrations and update each group with relevant Business School and KCL stories, content, and resources
  • Working with the Alumni & Stakeholder Engagement Manager and Officer in delivering the KBS Executive Fellows engagement activities, Professional Business Networks and KBS networking events
  • Supporting the delivery of alumni and stakeholder engagement activities within programmes
  • Recording volunteering and engagement activities on the alumni database for delivery of digital credentials and promote alumni engagement sharing on social media

Lead and organise mentoring opportunities for King’s Business School alumni through:

  • Project management and delivery of the alumni mentoring activities – group mentoring, and mentoring activities led by the Student Experience and King’s Business School Careers & Employability Teams
  • Coordinating delivery of the mentoring programme; acting as the first point of contact for participants, monitoring progress and collecting feedback
  • Organising the student information session, welcome event, ceremony, and summer catch up
  • Stewardship of alumni mentors, volunteers and key alumni to strengthen their connectivity to the School and encourage further engagement
  • Working with the Communications Team to share mentoring and alumni volunteering stories to demonstrate impact and outcomes of the programme
  • Managing application forms, programme materials and resources on relevant channels (website, handbook, presentation, mentoring resources etc) 
  • Capturing participant (mentors and mentees) feedback through debriefing and post-event surveys
  • Producing programme evaluation and refining programme and processes to enhance mentor and mentee experience

Communication and Networking

  • Collaborate with Business School Comms Team to showcase alumni stories across social media and in materials for current and prospective students
  • Support content and ideas for the KBS Insights (faculty newsletter), KBS Linkedin Group and social media channels
  • Work with the Alumni Communications team to ensure Business School activities are promoted via King’s Alumni channels as appropriate
  • Lead on coordination and delivery of the King’s Business School alumni communications projects including alumni postcard and Graduation Careers Form
  • Lead on the delivery and design of graduation emails with alumni benefits and information for recent graduates
  • Support update of alumni content and work closely with the Communications Team to maintain up to date information on the KBS alumni website and social channels
  • Cultivate and foster relationships with the King’s Business School alumni community and in particular recent graduates, student society, and group leaders
  • Develop strong internal relationships across Fundraising and Supporter Development and King’s Business School to embed clear processes and streamlined ways of working
  • Build connections within other departments across the university to raise awareness and support the growth of the King’s Business School alumni programme

Decision making, planning and problem solving

  • Prioritise daily workload and plan ahead to identify any potential issues, troubleshooting and escalating as necessary
  • Contribute to the development of annual plans, identifying opportunities for collaboration between King’s Business School and wider Alumni Office activities
  • Plan and develop projects using relevant project management tools
  • Set KPIs for a portfolio of work and monitor progress towards objectives
  • Work closely with colleagues in the Business School, Alumni and Supporter Development and wider Fundraising department to ensure activities are aligned to long term strategic priorities

Skills, knowledge, and experience

Essential criteria

1.       Previous events or project management experience 

2.       Proven record of building relationships with internal colleagues and external stakeholders 

3.       Excellent written and oral communication skills including the ability to draft documents, correspondence and event marketing materials   

4.       Excellent organisation and time management skills, with the ability to balance competing, shifting priorities under pressure of deadlines and workload 

5.       Analytical skills to gather insights and make recommendations based on findings 

6.       Flexible approach and willingness to attend events/commitments outside of regular office hours

Desirable criteria

1.       Experience of working within a business school or similar environment  

2.       Experience of alumni, volunteer or stakeholder management 

3.       Experience of delivering volunteering and mentoring activities  

4.       Knowledge of digital events tools such as webinars and/or online community platforms

5.       Experience using databases to record and analyse data
