Position Overview
The Undergraduate Admissions Office within Student and Enrolment Services is currently seeking a Full-time Regular Admissions Officer.
The Undergraduate Admissions Office supports the undergraduate admissions application platform, review and evaluation of over 40,000 applications annually. In accordance with policies and standards established by the University, the Admissions Officer provide expertise in work related to the admission of students to the university and the determination of transfer credit for admitted students to the University of Calgary.
The Admissions Officer assesses eligibility for admission and admits applicants who meet approved academic requirements. The Admissions Officer has the expertise and advising ability to help applicants navigate academic regulations and criteria to determine an applicant’s eligibility and provides support through the application process. High standards in quality of work are necessary as errors directly affect students, the confidence of academic units, and the reputation of the University of Calgary. As a member of this team, the Admissions Officer reports to the Assistant Registrar, Undergraduate Admissions and will have an impact on meeting our institutional goals for enrollment. Efficient time management is critical to ensure all deadlines are met and to ensure the efficient completion of work responsibilities related to the position. The Officer requires a good understanding of the University’s academic programs, admission requirements, course transferability, and must keep abreast of regulation and process changes.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
- In-depth understanding of admission criteria, as outlined in the Academic Calendar, for all undergraduate programs, Open Studies and special admission categories.
- Reviews and assesses eligibility for admission to the University of Calgary for applicants with domestic and select international credentials (e.g., Canadian curriculum, IB, US, GCE). This includes reviewing and verifying documentation from various educational backgrounds, completing data entry, clearing alerts, conducting grade conversions and calculating admission averages.
- Ensures qualified applicants are admitted in an efficient and timely manner in accordance with admission criteria and competitive standards established by the university and faculties.
- Often works autonomously and requires strong time-management and decision-making skills.
- Expected to manage time effectively in order to meet and maintain service standards.
- Reviews courses taken at other institutions to determine transferability to the University of Calgary and posts credit as applicable. This includes posting transfer credit for UCalgary LOP and/or Exchange students.
- Develops and maintains general admission information and documentation in support of the service strategy.
- Responds to student and faculty inquiries relating to undergraduate, Open Studies and special admission category admissions by phone, email and in-person.
- Provides extensive knowledge of application procedures and can advise team, applicants or prospective students on procedural inquiries.
- Works with applicants and faculties across campus to provide a seamless and efficient admissions process for students. Develops cooperative and trusting relationships with stakeholders.
- Ensures integrity of information provided to students when advising. Offers information with discretion and tact to avoid misunderstandings or difficult encounters.
- Ability to have difficult conversations and provide un-favourable decisions to students in a clear, diplomatic and respectful manner.
- Contributes to ensuring internal procedures and evaluation decisions are clearly documented and understood by required parties within the larger Recruitment and Admissions team.
- Acts as a resource to other units within the Office of the Registrar, Faculties and campus service units.
- Assists with recruitment and conversion functions by participating in relevant activities, attending events and shifting operational priorities to support targeted recruitment efforts.
Qualifications / Requirements:
- A four-year University bachelor degree from an accredited/recognized institution is required.
- Two years related experience in post-secondary admissions is required.
- Two years advising prospective students at a post-secondary institution is required.
- One year reviewing and evaluating student transcripts is required.
- One year working with the Student Administration components of PeopleSoft is required.
- Demonstrated ability to use a variety of software, including MS Office (or equivalent), an electronic document management system, a Student Information System (PeopleSoft or equivalent), Customer Relationship Management tool and to operate in a highly automated, paperless environment.
- Excellent attention to detail and accuracy and maintains high quality and consistency of work.
- Effective interpersonal skills with sensitivity to race, ethnicity, religion and culture and ability to convey information with diplomacy and tact.
- Strong professional communication and problem-solving skills.
- Ability to be decisive and thoughtful while simultaneously working with a level of ambiguity.
- Demonstrated ability to work in a fast-paced, high pressure, team-based environment and meet deadlines.
- Ability to embrace change in a dynamic environment.
- Ability to work in a confidential setting and demonstrate good judgment in dealing with sensitive or problem situations.
- A strong desire to work in a team-based environment to meet team goals and to continue professional development on a regular basis.
- Excellent customer service skills and a desire to contribute to a positive student experience.
