Seeking a full time Program Manager to lead the College of Education (COE) Admissions and Enrollment process and tracking efforts.  This position will supervise two graduate students and will work together to enhance the educational experience of COE graduate students by facilitating personal growth, leadership, and career-related opportunities.  For more information, please visit our website: College of Education

This position reports directly to the Assistant Dean for the College of Education and works directly with the Student Resource Office.

Supervision Exercised

This position will supervise two Admissions and Enrollment Graduate Assistants who work 20-25 hours a week.

Who We Are:

The University of Colorado Colorado Springs (UCCS) is one of four campuses in the University of Colorado system and is home to over 9,000 undergraduate and 1,800 graduate students. Job Duties:

Admissions and Enrollment

  • Create and manage tracking of admissions and enrollment processes, workflow, and documentation of all three College of Education departments, particularly with respect to the differences and overlaps with main campus registration policies and procedures
  • Provide direct oversight of the import, data entry, and review process of all graduate applications for College of Education graduate programs
  • Manage all graduate applications including (but not limited to), assisting applicants in the collection of proper documentation for admission, schedule admission interviews, prepare files for faculty and program coordinator review, and all other activities related to on-boarding new students
  • Manage and implement the planning, coordinating, and scheduling of Group Interview Day for the Master’s in counseling program. Typically, between 100-200 applicant attendees
  • Develop collaborative environment with College of Education faculty members, program coordinators, and department chairs to keep program admission and enrollment requirements up to date
  • Develop processes that provide direct service to students in-person, on the phone, via live chat, and via email to determine the applicant’s/student’s need(s) and provide service as appropriate through immediate solution or referral to the appropriate person or department
  • Create and implement comprehensive and detailed processes for support with college-specific issues for Admissions and Enrollment Services related questions as well as anything related to registering for classes. This includes but is not limited to questions/issues regarding: the admissions application, the application process, residency status, registration holds, course registration, class permissions, etc.
  • Employ Onbase and CU’s Integrated Student Information System (CU‐ SIS) to access student records, update student/applicant information, process student/applicant records, pull application/enrollment queries, and communicate with students and academic departments
  • Responsible for ensuring understanding of college, state, and federal policies, procedures, and information related to admissions, enrollment, placement, and student services to internal and external college constituents
  • Problem solve and investigate in collaboration with campus partners to resolve admissions and enrollment issues
  • Provide input on improving processes and procedures related to providing enrollment service to students and supporting academic departments
  • Expert in utilization of Adobe Sign to process student and state documents for signature from appropriate parties
  • Develop and update current standard operating procedures with regard to College of Education admission and enrollment processes
  • Establish quality control processes and procedures to ensure and improve document processing

Other Duties and Responsibilities 

  • Participate in student information system and customer relationship management software training and professional development
  • Attend job specific workshops, conferences, training, and other professional development opportunities
  • Contribute, attend, and actively participate in meetings, trainings, retreats, and other related functions
  • Regularly update continuity documents and procedure manuals
  • In the event of an absence, a minimum of 24 hours’ notice must be given
  • Return inquiries and/or requests via phone, email within 48 hours

Work Location:  This position is primarily in-person.  Remote work will be available occasionally or for emergency events. This will be offered based on the emergency and allowance will come from leadership and the guidelines provided at the time of the emergency or occasion.

This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

What We Offer

Salary Range: 

Salary Range generally starting at $44,378 – $60,000

In accordance with Campus Policy 300-012, this salary is supported by independent analysis conducted by Human Resources.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

This position is dependent on the availability of funding. Funding is currently expected to last three years and may continue.

Tentative Search Timeline:

  • Priority will be given to applications submitted by November 28, 2022.  However, this posting will remain open until filled.
  • The potential dates for first round interviews will be the week of December 5-9, 2022.
  • The potential dates for interviews with the supervisor and appointing authority will be the week of January 3-5, 2023.
  • The potential employee start date is February 1, 2023.

Qualifications

Please note that while the position details both required qualifications as well as preferred qualifications below, you do not need to have all of the preferred qualifications to be considered for this position. Minimum Qualifications:

  • Bachelor’s degree from accredited college or university is required
  • Three (3) or more years of experience in business, higher education or a related role
  • Three (3) or more years of experience working with various campus constituents including staff, faculty, students, and administration
  • Three (3) or more years of demonstrated experience with Microsoft Office Word, Excel, PowerPoint, and Outlook
  • One (1) year of experience providing high level customer service to individuals and groups in-person, MS Teams, Zoom, over the phone, and via email

Preferred Qualifications:

  • Master’s degree from accredited college or university
  • Five (5) or more years of experience in higher education or related environment
  • One (1) year of experience with data and reporting, and a desire to provide enrollment support at the college level
  • One (1) year of experience with CU systems including Onbase and CU’s Integrated Student Information System (CU‐SIS)
  • Demonstrated expertise in Cloud based software including Salesforce and other customer relationship management software

Physical Requirements:

While performing the duties of this job, the employee is frequently required to sit; employee is occasionally required to move; tasks may involve using a computer screen continuously for long periods of time; ability to use a keyboard and use a mouse continuously for long periods of time; he employee must occasionally lift and/or move up to 10 pounds.
