Job Description

Great Basin College is recruiting for an Admissions and Records Assistant 4 for Admissions and Records department in Elko, NV.

This position is the Dual Enrollment processor and liaison between high school administrators in the State of Nevada counties within GBC’s service area and Great Basin College Dual Enrollment program. This position will aid students, staff, and the general public. This position supervises and manages the operations of the Admissions & Records Office which requires someone with a great deal of specialized knowledge in the realm of NSHE and institutional policy. The Admission and Records Assistant is point position for contact with all our many centers and satellites and is knowledgeable of course descriptions, academic catalog information, semester class schedules, prerequisites for sources and graduation requirements.

This role will supervise an Admissions and Records Assistant II and an Administrative Assistant III, student workers, and sometimes part-time employees, and coordination with staff members of all other GBC departments (Financial Aid, Controller’s Office, SIS Operations, academic departments, etc.) within Student Services on projects. In addition, the Admission and Records Assistant oversees all aspects of student graduation including every portion of the commencement ceremony.

Required Qualifications

  • Graduation from high school or equivalent education and four (4) years of increasingly responsible and varied experience in multiple areas such as foreign transcript evaluation, admission of international students, data entry of new class data, preparation of the master class schedule, review of computer input and output, determination of eligibility for admission and graduation, and scheduling classroom and instructional space OR

  • One (1) year of experience as an Admissions & Records Assistant III in Nevada State service; OR

  • An equivalent combination of education and experience.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 29 (Entry, Step 01 $19.32/hr. – Step 05 $22.83/hr.)

Select Salary schedule, PP01. In classified service, salary is in Grade and Step. The Grade is determined when the position was created. The Step is determined based on the Nevada Administrative Code.

Training and Experience Exam

1) Describe your experience, including number of years, serving as liaison between students, admissions & records staff, faculty and administration.  

2) Explain your relevant experience providing direct supervision to support staff including work assignment and review, hiring and selection, discipline, and performance evaluation.      

3) Explain your relevant experience managing and updating complex records such as class schedule data, student information, and course updates on applicable software such as PeopleSoft, SIS and/or Ad Astra.
