Reporting to the Director of Admissions Operations & Systems, the Admissions Administrative Assistant is responsible for executing a comprehensive and coordinated communications plan for all inquiries and applicants to the university. The primary goal for this position is to support the Admissions department and provide effective data entry/management and timely quality customer service for individuals interested in pursuing an education at the university
The ideal candidate will be organized and detail oriented, able to work under pressure while exhibiting flexibility and commitment to the success of the team.
ESSENTIAL DUTIES
This position works to ensure data integrity that supports successful completion of the University’s enrollment goals.
Answering Admissions calls and directing to the appropriate team member, checking voicemail
Processing mail daily
Entering leads, inquiries and applications into JRM, processing Internet Submissions between JRM and J1, and running Daily Procedures in J1
Processing received transcripts
Creating and sending Acceptance and Scholarship Letters as well as mailing Enrollment Packets to accepted students
Monitoring various alias emails (admissions@, gradadmit@ and Doctorate@) for webforms, RSVP’s, information requests, transcripts, applications and general information requests
Creating student files and maintaining (physical and electronic) with documents as they are submitted
Student File Management
Perform a wide variety of technical duties using Jenzabar and Salesforce
Maintain records in accordance with FERPA guidelines
Maintain a high level of quality control by generating reports to ensure data integrity
Maintain communication with the recruitment staff to ensure admissions process and documentation is smooth and complete
Assisting the Admission Representatives in events, event planning and mailing campaigns
Maintain department supplies and equipment
Maintain Open House communications and executing mailing requests/campaigns and email/texting campaigns
Contributing to team meeting and collaborating with team members
Attend admission events as needed (some evenings and weekends)
All other duties assigned by AVP of Enrollment and Financial Aid
QUALIFICATIONS
Familiarity with Microsoft Word, Excel, Access and Outlook
Familiarity with college ERP systems required, familiarity with Jenzabar a plus.
High school diploma required.
