Administrator (Biosciences – Emery Station Operations Center)

Berkeley Lab’s Biosciences Area is looking for a highly motivated, well-organized, and technically proficient Administrator to lead and coordinate a wide range of administrative support services for researchers and operations staff at the Emery Station Operations Center (ESOC). Reporting to the Operations Center Business Manager, you will be responsible for serving as the main point of contact for all operational, administrative, and/or programmatic issues including large scientific programs such as the Joint BioEnergy Institute (JBEI ) and Agile BioFoundry (ABF ).

 

What You Will Do: 

  • Serve as a point of contact for operational, administrative and/or programmatic issues.
  • Serve as Travel, Timekeeping, and Procurement specialist providing regular training updates and creating desk guides for processes.
  • Coordinate and manage all aspects of the JBEI partner subcontract agreements, including analyzing monthly reporting, monitoring of funding balances, distribution of funds, and confirming invoice details with respective personnel.
  • Collaborate with operational, business, and administrative staff to design and create templates, forms, websites, and other forms of media.
  • Assist scientific staff with coordination of proposal materials, interfacing with Budget personnel as needed.
  • Collaborate with administrative leadership on special projects, presentations, and ad hoc reports.
  • Assess, prioritize, track, and determine appropriate action on various requests and inquiries ensuring timely completion.
  • Provide a high level of customer service to all levels of personnel both internal and external to the organization representing the Biosciences Area Operations Center.

 

What is Required:

  • A minimum of 2 years of relevant administrative experience including coordinating and facilitating complex tasks related to travel and procurement in a research, academic, or large/complex organization.
  • Experience using a variety of cloud-based software platforms and applications including MS Office Suite, Google Applications Suite, Adobe Acrobat, and advanced skills with web conference platforms.
  • Experience with planning, reporting, and coordination of large activities.
  • Demonstrated organizational skills including experience handling multiple tasks concurrently to meet workload demands and deadlines.
  • Strong customer focused interpersonal skills including experience interfacing with all levels of personnel both internal and external to an organization with a high degree of professionalism, discretion, and confidentiality.
  • Demonstrated oral and written communication skills including experience compiling information on complex subjects and producing professional high-quality, error-free documents, reports, and presentations.

 

What We Prefer:

  • A Bachelor’s Degree in a related field.
  • Knowledge of Berkeley Lab’s procurement and travel policies.
  • Knowledge of Biosciences Area, Berkeley Lab, University of California (UC), and Department of Energy (DOE) policies, procedures, and practices.

  • This is a full time, exempt from overtime pay (monthly paid), career appointment.

  • This position is eligible for a hybrid work schedule – a combination of teleworking and performing work on site at the Emery Station Operations Center — 5885 Hollis Street Emeryville, CA. Work schedules are dependent on business needs. Individuals working a hybrid schedule must reside within 150 miles of Berkeley Lab.
  • This position is not eligible for visa sponsorship.
