- Description
- The incumbent will serve as an Administrative Support Assistant in the Hawaii State Office of the Wildlife Services (WS) Program. Provides support to the State Director, Assistant State Director, Supervisory Wildlife Biologists and other members of Hawaii staff.
Provides a variety of administrative support such as:
Receives and inventories purchases and deliveries. Maintains a current inventory of property assigned to the office/program unit. Ensures that transfers, disposals, and other property transactions are properly conducted and documented.
Assists in procuring larger amounts of supplies, equipment, and services and maintains program inventory.
Prepares OF-1164 for the program.
Assists with recruitment by initiating SF-52s, Requests for Personnel Actions, required for the office/program unit in accordance with established procedures, ensuring the appropriate documents are prepared and forwarded to the appropriate Human Resources office. Utilizes current systems (i.e., National Finance Center [NFC], eTracker) to process actions and reports for pay. Maintains employee performance documents for the office/program unit. Processes awards, maintains awards database, and ensures proper routing of awards for the office/program unit. Assists supervisory staff in onboarding new employees (i.e., signing forms, providing tours and overview, etc.) and out-processing employees who are departing the Program (i.e., AD-3001, exit interviews).
Prepares and submits the necessary vehicle reports/information to include fleet management credit card (i.e., WEX) transactions, mileage and service logs, and quarterly and monthly reports, and enters related data in fleet management (i.e., FedFMS) and/or other appropriate systems.
Performs other related administrative duties as assigned.
- Qualifications
- GS-6: Specialized Experience:
Applicants must have 1 year of general work experience at the GS-5 level of specialized experience performing the duties of the position that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.
• Experience in Human Resources software, such as: National Finance Center (NFC), eTracker, USA Staffing
• Experience with logistics, shipping and receiving
• Experience in Microsoft Excel, Microsoft Word, and Microsoft Outlook.
• Experience in maintaining and developing a filing system.
• Experience with Time and Attendance (T&A) processing.
GS-7: Specialized Experience:
Applicants must have 1 year of general work experience at the GS-6 level of specialized experience performing the duties of the position that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.
• Experience in basic financial tracking/budget support, purchasing, and supply management,• Experience in human resource administration, travel, grants and agreements, paycheck and Time and Attendance
• Experience with scheduling of resources, maintaining tracking logs, correspondence, managing administrative suspense items and transaction records, data processing, record keeping, mail, and files management.
