Description
The incumbent will serve as an Administrative Support Assistant in the Hawaii State Office of the Wildlife Services (WS) Program. Provides support to the State Director, Assistant State Director, Supervisory Wildlife Biologists and other members of Hawaii staff.

Provides a variety of administrative support such as:

Serves as office/program unit receptionist. Ascertains the nature of requests and directs callers to appropriate staff or personally provides the information desired. Appropriately distributes incoming and outgoing mail, packages, and faxes, including a variety of information and supplies to field staff. Accurately addresses outgoing mail and packages and sends via the appropriate shipping method. Responsible for sorting and distributing incoming mail.

Maintains monthly vehicle reports for all District assigned vehicles. Logs vehicle maintenance and repair for all work completed on GOV’s.

Assists with travel arrangements for Program Projects by coordinating with the State Office Travel Specialist.

Submits, tracks, and performs follow up on all Training correspondence between employees and regional office communications.

Maintains administrative and program files in accordance with Federal records management policies, procedures, schedules and guidelines, APHIS policies, and the WS File Plan. Ensures current information is properly maintained, retained, labeled, accessible, and organized. As needed, maintains and updates office copies of USDA, APHIS, and WS Directives, Policy Manuals, and Administrative Bulletins on a regular basis.

Assists timekeeper for Time and Attendance processing, in accordance with appropriate system (i.e., WebTA) policies and procedures. Correctly records hours of work, leave used, and accounting codes/short hand codes for error free submission of information. Conducts leave audits for accuracy. Identifies problems and discrepancies and brings issues to supervisor’s attention. Enters and retrieves information from a variety of computer systems and helps other employees in the use of these systems.

Performs other related administrative duties as assigned.

Qualifications
Minimum Specialized Experience:
Conducting basic computer operations for record keeping, data entry, word processing, and email correspondence

• The ability to communicate both verbally and in writing to internal and external stakeholders to coordinate and promote program activities

OR 4 years of college education above high school level.

Equivalent combinations of education and experience are qualifying for this grade level.

GS-5: Specialized Experience:

Applicants must have 1 year of general work experience at the GS-4 level of specialized experience performing the duties of the position that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.
• Experience with logistics, shipping and receiving

• Experience in Microsoft Excel, Microsoft Word, and Microsoft Outlook.

• Experience in maintaining and developing a filing system.

OR 4 years of college education above high school level.

Equivalent combinations of education and experience are qualifying for this grade level.

OTHER REQUIREMENTS:

• You must be a US Citizen or US National.
• Males born after 12/31/1959 must be Selective Service registered or exempt.
• Subject to satisfactory adjudication of background investigation and/or fingerprint check.

• Must obtain or have a valid state driver’s license at time of application.
• Must demonstrate a respect for safety in all operations, including the operation of motor vehicles, firearms, control devices, and equipment.
• You must be able to pass a government background check. A background check will include answering questions about where you’ve lived, worked, went to school, and any military history or police records. Selection and retention in this position is contingent on a successfully adjudicated FBI National Criminal History Check (fingerprint check).
