Administrative Support Assistant III (Administrative Associate 2 – MR04 )

Military Science

The Administrative Support Assistant III serves as the primary staff in the ROTC office, and is the primary point of contact for Military Science. The position handles the management and administration of two budgets and reconciles all budgets on a monthly basis and year end resolution for each budget. The position distributes and verifies procurement card statements; hires, trains and supervises work study students as applicable. The Administrative Support Assistant III maintains a smooth running professional office environment while supporting both the Military Science Department and the University.

Duties and Responsibilities:

Office Management

Utilizes multiple university information system; stays updated on policies, procedures, and required training; assists the department head with gathering and storing information, generating and submitting reports required by the university; provides assistance in planning and publicizing departmental events, functions, and initiatives; provides oversight and training of student workers; identifies and submits requests for needed updates to departmental websites; assists the department head and faculty members in solving administrative issues that arise; schedules room reservations and assists with special events; and completes overrides for ROTC students when necessary.

Budget Administrations

Tracks expenses and reconciles budgets; distributes and verifies procurement card statements; and prepares invoices for payment, repayment associated with travel requests and travel expense reports.

Overseeing Physical Environment

Monitors and stocks supplies of all kinds; coordinates maintenance and inventory of office equipment; keeps shared office suite (front desk, supply rooms, seminar room) orderly, functional, and attractive; identifies and submits needed orders from Facilities; welcomes students at all times; being responsive to emails and phone calls from a large range of people inside and outside the department; assists (with information, referrals, etc.) those who contact the department from the campus or from the public; interacts with colleagues in other departments and offices around the campus; and acts as the primary liaison between Military Science and students, parents, prospective students, faculty and staff, and other constituents of the University.

The ideal candidate will possess the following:

  • Knowledge of accounting and bookkeeping
  • Knowledge of Microsoft Word and Excel
  • Strong interpersonal and communication skills (spoken and written)
  • Ability to work comfortably in the midst of many people and in high traffic area
  • Ability to multi task
  • Ability to be flexible in the work environment
  • Ability to support department head and be responsive to his/her priorities
  • Ability to use discretion with sensitive information

Minimum Qualifications: Requires a high school diploma or GED and two years of relevant experience, or an equivalent combination of education, training, and experience.

Preferred Qualifications: Associate’s or Bachelor’s degree; two years of experience in clerical/bookkeeping position (in an academic institution); and experience in roles that feature interaction with public at large.
