JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Department of Anthropology in the College of the Liberal Arts invites applications for an Administrative Support Assistant 3. We are seeking a professional and customer-focused individual to provide administrative support for the Department and its undergraduate student services. This position serves as the curricular affairs representative for undergraduate and graduate courses, course and final exam scheduling coordinator, administrative contact for commencement, and the first point of contact for those who visit or contact the Department.
More specifically, the primary duties of the Administrative Support Assistant 3 include:
Work collaboratively with undergraduate advisors, the undergraduate officer, and the department head to assess and serve the needs of undergraduate students
Course scheduling which will include room scheduling, data input, schedule changes, textbook orders, and final exam scheduling
Manage new course and curriculum proposals, to include major and minor program updates, according to the College’s guidelines
Administer area policies and procedures; answer related questions from students, parents, other university departments and faculty
Process record changes to include grade change, drop/add, missing grade and course cancellations; manage the Student Rating of Teaching Effectiveness (SRTE) process
Coordinate and process faculty and graduate student travel arrangements and reimbursements
Assist with the planning of the weekly colloquium and two annual department-wide events (Annual Fall Semester Startup event, Anthropology Day in the Spring)
Provide backup support to other administrative team members within the Department, as needed
The successful candidate will also develop the initial graduation verification list and accompanying audits; refer problem cases to the advisor or undergraduate officer; and maintain various departmental databases, directories and files.
By being the first point of contact for the Department, the Administrative Support Assistant 3 is expected to provide the best quality of service to students, faculty, staff, and other visitors through administrative duties that include but are not limited to:
Answering and screening telephone calls
Scheduling conference and classroom space
Providing information and/or referring as appropriate
Solving routine office and student-related issues
Distributing/sending mail and FedEx/UPS shipments
Ordering office supplies
Assisting with other administrative tasks
Typical hours for this position will be Monday through Friday, 8:00 a.m. to 5:00 p.m. ET.
The Administrative Support Assistant 3 will frequently use the following software and applications on a Microsoft Windows operating system: LionPATH (Penn State’s student information system), CollegeNet/25Live (scheduling platform), and CourseLeaf CIM (Penn State’s curriculum management system).
Education and Experience: This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
Additional desired competencies include excellent interpersonal, organizational, and verbal communication skills; a demonstrated ability to use sound judgment and take initiative in problem-solving; and experience working both independently and as a team player. Experience with Microsoft Suite (including Word and Excel) is required. In addition, successful candidates must either have demonstrated a commitment to building an inclusive, equitable, and diverse campus community, or describe one or more ways they would envision doing so, given the opportunity.
