JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Center for Global Studies (CGS) in the College of the Liberal Arts is seeking an Administrative Support Assistant 3.
This is a Full-Time Equivalency (FTE) position, which will be off primarily in June and July with full Penn State benefits included (more information below).
The goal of the CGS is to support research, teaching, and programming that will advance Penn State’s expertise in global studies and international perspectives. The CGS will also foster global citizenship and cross-cultural awareness through support of language instruction at the University Park campus. In 2022, the center was awarded two new federal grants – Title VI National Resource Center (NRC) and Foreign Language and Area Studies (FLAS) grants from the U.S. Department of Education. CGS is one of only six centers in the nation to receive both the NRC and FLAS awards in the international competition for Title VI awards. These grants highlight national recognition of the Center’s active engagement with research, education, and outreach in global studies.
Working closely with the Center’s Director and Assistant Director, the Administrative Support Assistant 3 will assist with the overall day-to-day operations of the Center.
Responsibilities include but are not limited to:

Facilitate and assist with CGS events and outreach programs: arrange meetings and visits; reserve venues, coordinate catering, and other logistics as directed.

Coordinate marketing and promotional efforts for CGS activities while implementing new strategies to effectively increase the Center’s outreach: Write and update press releases, mass emails, event programs, and in-print promotional materials; design event fliers.

Serve as the communications representative for the Center; assist with the design and maintenance of the CGS website.

Monitor and maintain the internal budget, track financial commitments and expenditures, request payments, and order supplies, doing so while following all University, College, and federal grant policies and procedures.

Serve as the primary staff support for the CGS: greet visitors; respond to general inquiries and act on routine requests; compile and maintain internal databases, files, and records. Serve as a resource on a variety of subjects including office technology, software application usage, and information processing procedures.

Serve as a liaison for the Center: corresponding with CGS awardees and presenters, as well as other departments, students, faculty, and the community.

Assist with grant reporting and data collection and preparation.
The Administrative Support Assistant 3 will frequently use the following software and applications: Microsoft Office Suite, SAP Concur, as well as SIMBA (Penn State’s system for Integrated Management, Budgeting, and Accounting).
Education and Experience: This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Other qualifications include:

This is a Full-Time Equivalency (FTE) position at 83.3%. This position works 40 hours per week (Monday to Friday) from August to late May (off June and July, except for one week due to business needs). Full Penn State benefits included.
This is a limited-term appointment, funded for four years from the date of hire, with a possibility of renewal.
