The College of Arts and Sciences welcomes applications for Administrative Specialist to provide administrative and budgetary support to the Department of Modern & Classical Languages & Literatures and the Department of Philosophy and Religion.
Duties and Responsibilities
Clerical Work:
Utilizing multiple university information systems; staying updated on policies, procedures, and required training; assisting the department head with gathering and storing information, generating and submitting reports required by the university; tracking expenses and reconciling budgets for Modern & Classical Languages and Literatures, Philosophy and Religion, and programs and personnel associated with the two departments; assistance in planning and publicizing departmental events, functions, and initiatives; oversight and training of student workers; identifying and submitting requests for needed updates to departmental websites; assisting the department head and faculty members in solving administrative issues that arise
Public-facing Service:
Full-time staffing of the reception desk in the department offices; welcoming students at all times; being responsive to emails and phone calls from a large range of people inside and outside the department; assisting (with information, referrals, etc.) those who contact the department from the campus or from the public; interacting with colleagues in other departments and offices around the campus
Overseeing Physical Environment:
Monitoring and stocking supplies of all kinds; coordinating maintenance and inventory of office equipment; keeping shared office suite (front desk, supply rooms, seminar room) orderly, functional, and attractive; identifying and submitting needed orders from Facilities
The ideal candidate will possess the following:
- Knowledge of accounting and bookkeeping
- Knowledge of Microsoft Word and Excel
- Strong interpersonal and communication skills (spoken and written)
- Ability to work comfortably in the midst of many people and in high traffic area
- Ability to multitask
- Ability to be flexible in the work environment
- Ability to support department head and be responsive to his/her priorities
- Ability to use discretion with sensitive information.

Minimum Qualifications: Requires a high school diploma and two years of relevant experience, or an equivalent combination of education, training, and experience.
Preferred Qualifications: Associate’s or Bachelor’s degree; two years in clerical/bookkeeping position; and experience in roles that feature interaction with public at large.
