Job Summary: The Administrative Specialist performs highly responsible administrative duties of a specialized and complex nature under limited supervision. May prepare complex reports, oversee office administration, set up and maintain files, and attend meetings. Position may be responsible for budgetary information and serve as a liaison to other departments.
Additional Department Summary: The Administrative Specialist for Student Engagement provides clerical support to the Assistant Vice President for Student Engagement and Director of the University Student Center. Disseminates information for the Student Engagement Unit to its Directors. Reconciles purchasing cards. Orders and maintains offices supplies and/or equipment needed for office operations. Provides logistical support in the planning and execution of major unit programming, divisional efforts, and other engagement opportunities. Schedules and plans meetings/events of varying degrees. Works in collaboration with Student Life Central Administration to ensure that all institutional, divisional policies, state, and other applicable policies are followed and are appropriately communicated on the behalf of the AVP for Student Engagement to their department heads and teams. Reflects initiative, judgment and professionalism with the many campus stakeholders that this position engages with on a daily basis (students, parents, divisional and institutional colleagues) with in person, over the phone, video conferences and written communication.
Responsible for completing required training and promoting a safe, hospitable, and respectful workplace. Responsible for reviewing required training reports and communicating with department heads on those non-compliant to ensure compliance by any required deadlines. Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures.
Required Minimum Qualifications: High School diploma or GED and a minimum of four (4) years of highly responsible general office experience; OR Associates degree and two years of highly responsible general office experience; OR Bachelor’s degree or higher.
Skills and Knowledge: Ability to be adaptable, flexible, prioritize, and multi-task. Ability to use all Microsoft Office products to meet daily responsibilities and work products. Ability to learn and navigate information management and scheduling software systems of various kinds. Knowledge of standard office equipment (i.e. fax machine, copier, calculator and electronic multi-line phone set)
