Department Summary

The Division of Student Life supports the University’s academic mission through comprehensive programs and services that promote and advance student learning and success, while fostering an inclusive and vibrant campus community. Student Life includes four departments, the University Career Center, Office of the Dean of Students, Erb Memorial Union, and Physical Education & Recreation, and a number of key programs, including the Holden Center for Leadership and Community Engagement, Parent and Family Programs, Major Student Events (Commencement, Homecoming, University Day), Student Engagement & Success (Student Government), Student Conduct and Community Standards, and Support for Students in Crisis and Students of Concern.

The Office of the Vice President for Student Life provides the vision and oversight of the Division’s departments, programs and initiatives. The Vice President’s administrative staff provides key support in the areas of financial services, human resources, parent and family programming, major student event creation and management, and research and assessment.

Position Summary

This position is located in the Student Life Shared Service Center which is made up of financial and human resource teams. The shared service center handles financial and HR-related matters for client departments within the UO. One of those clients is the Associated Student Body of the University of Oregon (ASUO). This position will primarily serve the needs of the ASUO and its unique business model which is primarily based upon the Incidental Fee budget passed by the leaders of the ASUO. This position will be responsible for the interpretation and adherence of rules, policies and procedures as they relate to financial transactions at the UO. In addition, this position will provide guidance, analysis, and transactional assistance often requiring detailed explanations to help navigate and communicate ASUO/i-fee policies to various audiences. In addition, this position will also assist the center with additional financial tasks as determined by the needs of the other clients.

This position reports to the Assistant Director of Financial Services.

This position is based on the UO Eugene campus and is not eligible for remote work.

Minimum Requirements

Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience.

One year of postsecondary education may be substituted for up to one year of the experience.

Professional Competencies

• Ability to prepare spreadsheets and use reporting tools.
• Excellent attention to detail.
• Ability to communicate complex rules and/or policies in a concise and easy-to-understand manner.
• Excellent customer service skills.
• Demonstrated proficiency with computers and Microsoft Office (Word, Excel) or similar software.

Preferred Qualifications

• Experience with Banner.
• Experience with Cognos.
• Experience with bookkeeping, accounts payable and/or journal entries.
