Administrative Coordinator, Darden Library

The University of Virginia Darden School of Business, one of the world’s leading business schools, seeks an Administrative Coordinator to join its professional library staff in Charlottesville, VA. Responsibilities:

  • Serve as the point person for library procurement. This includes processing reimbursements and account payables for the department.

  • Manage and process invoices for electronic and print resources. This includes databases, journals and books.

  • Organize records and maintain an effective workflow in conjunction with the processing of invoices to procurement.

  • Manage the ordering of supplies necessary to keep the library functional.

  • Assist with circulation of print and video materials, which would include checking items in and out of Camp library.

  • Request library loans materials, article requests and assist in getting Class reserves, when needed.

  • Maintain tracking system of activities within the library. 

  • Perform clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.

  • Monitor, respond, and take action to promote and maintain safety and security of the library.

Education and Professional Experience:

  • High School diploma with four years of relevant experience required. Bachelor’s degree may substitute for experience

  • Strong organization skills with attention to detail and the ability to prioritize and multi-task

  • High degree of dependability and flexibility

  • Excellent customer service skills

  • Strong oral and written communication skills

  • Must be able to work independently and as part of a team

  • Previous library experience strongly preferred

  • Knowledge of basic procurement and office management practices

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook

  • Self-starter, willingness to take initiative

  • Enthusiasm for learning about and using information technologies

  • Ability to work effectively and collaboratively to provide service in a diverse work environment and community

  • Reference skills/research experience preferred
