Department Summary The CYD Rising Blazers Program at UNT Dallas partners with local nonprofits, grassroots organizations, and community stakeholders to provide support and resources for programming for our participants and their families. Programming includes the four CYD core program components of Mentoring; Post High School Readiness; Youth Leadership Development; and Youth Advisory Committee, along with additional ancillary programming. These additional programs include life skills, mental health support, sports and recreation, and community and civic engagement opportunities.
The goal of CYD is to support Youth by fostering safe spaces, positive relationships, and structured opportunities to build assets and skills. These supports lead to strengthened connections, engagement, and contribution to the community
Position Overview The University of North Texas at Dallas invites applications for the position of Administrative Coordinator.
This is senior level responsible administrative office work. An employee in this class performs a variety of administrative support tasks that are non-routine and non-repetitive in nature, and require the use of considerable independent judgment and initiative. The individual is usually responsible for determining methods and procedures to be used, priority of assignments, and necessity for review by an administrator. Work includes public contact in interpreting and promoting the department’s programs and rendering administrative decisions. Work is performed under general supervision, with assignments typically reflecting continuing responsibility for designated activities. An employee in this class may supervise full-time and part-time employees.

Minimum Qualifications

Bachelor’s and one (1) year of related experience; or any equivalent combination of education, training, and experience

Knowledge, Skills and Abilities

• Considerable knowledge of general office procedures and practices.
• Knowledge of University policies and procedures related to the area of assignment.
• Skill in making mathematical calculations and computations.
• Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Ability to establish and maintain good working relationships.
• Ability to communicate effectively orally and in writing.
• Ability to work without close supervision.
• Knowledge of safe working procedures related to work performed.

Preferred Qualifications · 5 Years of administrative support
· 2 Years of managing the budget and invoicing processes
· Bilingual in Spanish
· Grant management experience
· Social media management and marketing materials
· Strong proficiency in Microsoft Office computer applications (I.e; Word, Excel, PowerPoint, Outlook)
Required License / Registration / Certification
Work Schedule Monday-Friday, some Saturdays

Job Duties

o Prepare invoices, reports, memos, letters, and financial statements; and prepare corporate documents, records, and reports for approval.
o Manage large budget and handles programming invoices.
o Prepare and organize files, enter data, and verify data entry accuracy. (physically and digitally)
o Manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material. Maintain and enter information into databases.
o Prepares reports based on budget expenditures and/or allocations.
o Maintain schedule and event calendars. Prepare agendas and make arrangements for the committee, board, and other meetings, such as coordinating catering for luncheons.
o Open, sort, and distribute incoming correspondence, including faxes and email. Prepare responses to correspondence containing routine inquiries.
o Proofread work done by others to check for correct spelling and grammar, ensure that company form at the policy is followed, and recommend revisions.
o Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs. Answer phone calls and direct calls to the appropriate parties or take messages.
o Coordinate office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping.
