Administrative Assistant to the Director of Knowlton School

The Administrative Assistant to the Director of Knowlton School manages the affairs of the Knowlton School Director and coordinates efforts with Knowlton School Section Heads, faculty, staff, and students. This position manages the Director’s complex appointment calendar and coordinates with other leaders’ calendars as needed. Manages all details of Director’s travel, including coordination of national and international travel itineraries requiring independent decision making, and post-travel organization and reimbursements. Manages a school procurement card to assist with travel, event planning and purchases and serves as manager in the absence of the Fiscal Associate. Informs the Director of important events, activities, and potential issues in, and related to, the Knowlton School. This position serves as the school’s primary point of contact and liaison to internal and external stakeholders. Exercises independent judgment and decision-making on time sensitive and/or confidential matters and when acting on behalf of Director and leadership team.

This role will also oversee and support school level initiatives such as unit reviews, annual performance reviews, faculty searches, promotion and tenure (P&T), accreditation, generating SEI reports, and recording meeting notes at requested meetings. This position works closely with communications, operations, and financial managers, and oversees the administrative support functions of the executive team. Represents the school to internal and external stakeholders as well as manages and organizes special events for fundraising and school events and/or meetings.

Qualifications

Required: 4-6 years of relevant experience or Associate degree and two years of relevant experience; experience in an administrative capacity; knowledge of word processing and scheduling software such as MS Office 365; ability to work independently and as a member of a team; ability to communicate with college and university leaders in an effective and professional manner; strong verbal and written communication skills; ability to multi-task and prioritize assignments.

Desired: Bachelor’s degree or an equivalent combination of education and experience; previous experience with Workday or similar software.

Target Hiring Range: $20.53 – $27.36
