RESEARCH INSTITUTE OF THE MUHC
The Research Institute of the McGill University Health Centre (RI-MUHC) is a world-renowned biomedical and hospital research centre. Located in Montreal, Quebec, the Institute is the research arm of the McGill University Health Centre (MUHC) affiliated with the Faculty of Medicine at McGill University. The RI-MUHC is supported in part by the Fonds de recherche du Québec – Santé (FRQS).
Position summary
Under the direct supervision of the Principal Investigators (Dr. Marilyn Ahun (50% of effort) and Dr. Ugochinyere Vivian Ukah (50% of effort)), the administrative assistant will provide administrative support to their research teams. The administrative assistant will also act as a resource and contact person between the research teams and various RI-MUHC departments.
General Duties
Under the supervision of the direct supervisors, the person will:
• Liaise and facilitate communication between research teams and RI-MUHC departments for project management (e.g., inter-institutional/collaborator agreements, ethics submission and renewal on Nagano), fund management (e.g., invoicing, monitoring account expenses, submitting payment requisitions and travel/expense reimbursements, internal/external fund transfer), and staff recruitment, hiring, onboarding, and termination,
• Complete annual/final progress reports and financial reports for funding agencies,
• Keep PI’s academic and Canadian common CV (CCV) up to date,
• Format, type, translate, and edit documents (e.g., grant and award applications, ethics protocols, scientific manuscripts), and assist with submission processes,
• Prepare quotation, administer accounts, and prepare budget proposals,
• Act as a resource person,
• Coordinate meetings for PIs and research teams (Zoom and in-person, internal and external project teams, room bookings) and attend team meetings,
• Respond promptly to queries and requests for information,
• Accomplish any other related tasks as required by the immediate supervisors.
Education / Experience
Education: Bachelor’s Degree
Field of Study: Health or developmental (e.g., psychology) related field
Other education considered an asset for this position:
Work Experience: At least 1 year
Required Skills
Language Requirements:
Professional fluency (oral and written) in English and French
Other Requirements:
• Excellent communication and interpersonal skills,
• Ability to work independently or with teams with minimum supervision,
• Knowledge of Microsoft Office (Word, Excel, Power Point, and Outlook, OneDrive),
• Autonomous, sense of ethics and good judgment, flexible,
• Excellent organizational, time management skills, ability to multi-task and prioritizing time sensitive issues,
• Ability to generate and maintain accurate records,
• Strong analytical and problem-solving skills,
Additional information
Status: Temporary Full-Time (35-hour workweek)
– 17.5 hours for Dr. Ahun
– 17.5 hours for Dr. Ukah
Pay Scale:: $40,531.40 – $60,824.40 Commensurate with education & work experience.
Work Shift: 9:00 am to 5:00pm Monday to Friday. Hybrid (remote & onsite) with at least 3 days onsite per week.
