Job Summary Effectively coordinate and manage the administrative operations for the department, relieving the Chair of administrative duties
Essential Duties and Responsibilities 1. Provides coordination and administration of financial matters including but not limited to the following: annual budget, cost centers, grant project accounts, and the budget for the Characterization Center of Materials & Biology multi-user lab facility. Analysis, monitoring, reconciliation and reporting are conducted and presented to Chair and principal investigators.
2. Oversees procurement for the department. Reconciles procards, purchases supplies for research labs and requisitions for equipment and services.
3. Responsible for departmental appointments as well as supervision and hiring of support staff and student workers. Processes semi-monthly payroll and Timekeeper reporting.
4. Works with faculty (principal investigators) to budget graduate research assistantship positions in their research proposals by providing payroll information. Processes STEM graduate assistantships, fellowships, and scholarships. Monitors GTA/GRA data and provides reports frequently to Chair and/or Dean.
5. Interfaces with other units on campus by serving as OIT liaison, Designated Safety Liaison (DSL), Information Security Administrator (ISA), and Space Inventory Respondent (SIP)
Required Qualifications Bachelor’s degree. Five (5) years of experience in administration or business management including at least three (3) years at the Administrative Assistant level or equivalent. Must have at least one year of supervisory experience.
Preferred Qualifications Five or more (5+) years in higher education; experience working with graduate students. Excellent spoken and written communication skills; tact, diplomacy and discretion in all matters. Data analysis skills and ability to accumulate information for reporting and presentation.
