The Administrative Assistant provides front-line customer service for the students, faculty, staff and administration in the graduate programs in the Department of English at Georgia College & State University, and performs a variety of administrative and staff support duties for the department. This is a part-time position, working only twenty hours a week.

Administrative Support – 50
Provides superior customer service to students, faculty, staff, alumni, and the general public, and serves as an integral member of a customer-service oriented team. Resolves routine administrative problems and answers inquiries concerning activities and operations of department.  Serves as a liaison with other departments and operating units in the resolution of day-to-day administrative and operational activities.  Schedules and coordinates meetings, events, interviews, appointments, and other similar activities.  Maintains accurate online directory and helps update graduate program content on department web pages.  Assists with orientations and registrations.  Orders posters for events and reserves rooms. Manages confidential communications and records in accordance with federal, state, and University policies. Supports the University mission and department goals. Promotes effective communication and positive relationships with all members of the University community.
Bookkeeping – 20
Under the guidance and supervision of the budget managers for the graduate programs, assists with records, basic bookkeeping, budgeting functions, and filing that supports those managers’ maintenance of their program budgets. Processes payments for graduate programs, including invoices, non-employee travel reimbursement, independent contractors, foundation funds, and honorariums.  Makes deposits for Sales and Service account.
Graduate Student Support – 10
Supports graduate students in day-to-day tasks, beginning with orientation: assisting with the graduate-student orientation process, assembling orientation packets for students, setting up graduate student mailboxes in graduate office, and organizing distribution of keys.  Also helps graduate students access resources on campus for their study and teaching.  Assists with celebrations of student work.  Maintains a file of alumni information.
Records Management – 20
Creates and maintains master calendar of departmental events and deadlines.  Updates departmental graduate program and procedures manuals as per coordinators’ direction.  Assists with graduate admissions process by maintaining and updating graduate application files, reviewing documents for completeness, and preparing admission packets to be sent to graduate students.

Educational Requirements
High School Diploma or equivalent.
Required Experience
3 years clerical experience.
