Administrative Assistant I – Facilities Management

This position serves as one of the central points of contact to support the Facilities Management team and community. This is an entry level position who resolves basic questions and problems independently and refers more complex issues to higher levels. Roles include triaging the day-to-day facilities operations for campus; answers multi-phone lines, greet customers, records, processes, and dispatches to appropriate departments. Requires strong customer service skills and ability to multi-task. Other duties may vary daily with a variety of task such as: prepare, create, and collaborate on communications; maintain and create training material, employee files, and manage documents both electronic and physical filling systems.

 

 

This role is Monday to Friday; 8:15am-4:45pm; must be flexible to fill in on occasion for other staff members at 7am.

 

 
Qualifications:

  • High school diploma or equivalent required
  • 2 years’ administrative and/or office management experience
  • Experience with Microsoft Office Suite to include Word, Excel, PowerPoint and Outlook

 

 
Knowledge, Skills, Abilities:

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures/processes
  • Ability to communicate effectively (verbal and written)
  • Customer service focus including the ability to assess inquiries and provide appropriate information or resolution using judgment and available resources, and proven ability to maintain confidentiality
  • Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment
  • Ability to be collaborative and work in a team environment
  • Demonstrate Professionalism
  • Must be dependable/accountable
