Job Summary:

The Department of Biomolecular Chemistry at the School of Medicine and Public is looking to hire a full-time Administrative Assistant. The position will serve a vibrant and friendly basic science department in the School of Medicine and Public Health. The person will be the first point of contact for department’s administrative team under direct supervision of the Department Administrator. The person will triage the department’s administrative work and travel requests, schedule meetings and events, maintain updates to the website, as well as coordinate departmental affairs.
The ideal candidate will embrace personal accountability to meet tight and critical deadlines and take initiative to support department-related goals and priorities.

Responsibilities: Provides administrative support to a department or group of professionals in support of unit goals under direct supervision
  • 30% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 25% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • 5% Tracks, stocks, orders, and inventories office supplies to ensure adequate materials are available for workplace operation
  • 30% Serves as first point of contact for individuals and groups providing basic organizational information via phone, in person, and through other communication mediums, routing more complex inquiries to the appropriate entities
  • 10% Maintain departmental website and social media accounts

Qualifications:

Requirements
– One-year administrative assistant experience required.
– Demonstrated good judgment, organizational skills, attention to detail, self-initiative on managing full cycle of work request, time management, and meeting deadlines successfully.
– Ability to use Microsoft Word/Excel/Outlook to schedule meetings, create itineraries, oversee travel arrangements, and spreadsheet management.
– Proficient with computer software programs such as Adobe, PowerPoint, Google Docs to create posters and form templates.
Preferences
– Previous administration experience/knowledge of the biological sciences field preferred.
– Ability to work with independence and confidentiality.
– Communicate with professional tact and diplomacy both verbally and written.
– Familiarity with internet, social media platforms, web-based applications, and cloud storage (i.e., Box).

Work Schedule:

The university standard workweek is Monday through Friday from 7:45 a.m. to 4:30 p.m.

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.
