College of Engineering and Computer Science

The UCF College of Engineering and Computer Science is among the nation’s largest producers of engineering and technology workforce talent and we are the No. 1 provider of graduates to the defense and aerospace industries. We have more than 40 degree and certificate programs within the college and are continuing to grow. The Opportunity

The Administrative Assistant I position for College of Engineering and Computer Science(CECS) Graduate Affairs Office and Office of Diversity and Inclusion will provide administrative support and help to coordinate day to day functions and responsibilities of those departments.

Responsibilities: 

  • Responsible for open/close of the ODI/Grad Affairs Office.

  • Maintains the office and reception desks.

  • Maintains the Associate Dean’s Meeting Schedule

  • Greets and serves as a primary point of contact for building visitors, faculty, students, and staff.

  • Answer telephone and in person inquiries regarding general questions.

  • Receive mail and incoming packages, oversee distribution to internal staff mailboxes. 

  • Keep common areas of office including lobby and kitchen clean, well-organized, and stocked with supplies. 

  • Create and submit work orders and schedule services for general maintenance and IT assistance.

  • Purchase/order and maintain office supplies and inventory. Keep common area stocked. Manage office equipment repair and maintenance (i.e., copier).

  • Responsible for website updates and external bulletin boards information.

  • Assists with staff on-boarding and exit tasks for student and staff members, including Federal Work Study Students. 

  • Serves on assigned department committees as needed.

  • Maintaining the ODI Budget and initiating student scholarship payments, event costs, travel, student organization funding, and other budgetary functions.

  • Assists on special projects and tasks as assigned.

  • Processes, tracks, and stores documents: digital and printed.

  • Other duties as assigned by Direct Supervisor and/or Director(s) of the joint department.

Minimum Qualifications

High School Diploma or Equivalent and 0+ years of relevant experience.

Preferred Qualifications:

  • Preference may be given to candidates with experience using the Microsoft Office Suite and/or Workday.

  • Preference may be given to candidates with experience in higher education policies and processes.
