Job Description Summary:
This position will directly support the Geriatrics Division Director including scheduling and sending correspondence on behalf of the Division Director and/or division. Additionally, this position will be responsible for managing work and paper flow in office and coordinating and facilitating effective communication with staff. Assist with phone, faxes, and office mail. Compose and prepare correspondence. Organize and maintain files in office. Schedule appointments and manage office calendars, handle routine correspondence, order, and maintain supply inventories. Assist with various meetings, conferences, and symposiums. Develop presentation material for faculty and track faculty travel.
Job Description:
Required Qualifications:
- Education: Bachelor’s Degree with at least two years of work experience. Years of experience can substitute for education.
- Work Experience: 2 years
- Skills: Microsoft Office, Communications, Scheduling
Preferred Qualifications:
- Education: Bachelor’s Degree preferable with focus in business administration, supply chain management or a similar field preferred.
- Work Experience: Experience in Higher Education setting
- Skills: Experience with Workday preferred, but not required
Job Duties Outlined:
- Manages division director’s calendar, appointments, teleconferences: Zoom & Teams
- Manages division director’s travel, booking,
- Assist with telecommunication including phone, email, fax, and mail.
- Maintain supply inventory for office.
- Track and report expenses for division director.
- Coordinator of research projects for PI including communication with regulatory and data coordinating centers.
- Participates in data quality control and data management for PI’s research projects.
- Assist with development of presentation materials for meetings, conferences.
- Assist with collaborative team events and scheduling
- Maintain positive and collegial environment via communication and events.
- Organize and update faculty CVs, lab certifications, training docs and maintain R and P drives as needed
- Liaise with Internal Medicine Department leadership as needed on departmental processes
- Additional duties as may be assigned by supervisor.
