Administrative Assistant, Faculty Support

The Gould School of Law seeks an Administrative Assistant to join its Faculty Support team. The Administrative Assistant will report directly to the Law school’s Director of Faculty Support and will assist a number of faculty and librarians with their research and teaching needs. The number of faculty assigned may vary throughout the year.

Preferred Experience: 4+ years of work experience in Higher Education and/or an administrative setting. Experience working as a paralegal or in higher education is a plus.

This position involves a variety of administrative tasks that include, but are not limited to, the following:

  • Directly completes work assignments from professors and librarians, including scanning and making photocopies, drafting and formatting letters of recommendation for students, proofreading and editing documents, ordering supplies, answering incoming calls and emails, managing and coordinating schedules.

  • Prepares course materials, coordinates exams, takes class attendance, assists in ordering of textbooks and additional resources, organizes and edits PowerPoint presentations, spreadsheets, and classroom handouts.

  • Posts assignments, announcements, and readings to Blackboard, records grades, releases class recordings, and oversees other relevant course content.

  • Arranges travel and parking reservations for faculty and guest speakers.

  • Processes reimbursement requests for faculty travel and other university expenses.

  • Sorts and sends mail, letters, and packages.

  • Assists in event planning, including reserving meeting spaces, ordering catering, setting up rooms, coordinating speaking engagements for law professors, and other logistical needs.

  • Lends classroom support to faculty to ensure that they know how to operate audio-visual equipment. Helps troubleshoot basic IT issues.

  • Files and/or transcribes legal documents.

  • Manages/coordinates Zoom class sessions

  • Performs other related duties as assigned or requested. The university reserves the right to add or change duties at any time.

The ideal candidate will demonstrate:

  • Advanced proficiency in MS Office Suite (Word, PowerPoint, Excel, Outlook), Blackboard, Zoom, Adobe Acrobat, and copy-editing skills

  • Quick learning and a “can do” attitude

  • Resourcefulness

  • Ability to work well under pressure and with frequent interruptions

  • Strong organizational and analytical skills

  • Excellent oral and written communication skills

  • Ability to effectively interact with diverse audiences
