The University of Southern California Marshall School of Business seeks a self-motivated, high energy, innovative problem solver, to play a key role in the administrative operations of the Center for Investment Studies (CIS).

The Center for Investment Studies is a forum for students to acquire experiential learning, faculty to conduct research and industry practitioners to share valuable insights in the area of Investment Management. The Administrative Assistant will perform specialized support services in the administrative operations of the Center. The administrative support functions include planning and organizing support for CIS Board of Advisor meetings and annual Graduate and Undergraduate Student Investment Funds meetings, assisting in producing correspondences and documents for internal and external offices, maintaining databases and related records, and managing the Center’s budget. The administrative assistant will organize and expedite the flow of work through supervisor’s office; initiate follow-up action; serve as resource to student inquiries relating to academic schedule and others on departmental and university procedures. The Administrative Assistant will also interact with the University offices and/or supervisor’s employees to facilitate communications and information exchange. The Administrative Assistant will report to the Director, Center for Investment Studies.

Responsibilities and Duties

  • Assist in the administration and coordination of a variety of CIS administrative projects
  • Assist the CIS director to plan and organize the CIS Board meetings and Annual Graduate and Undergraduate Student Investment Funds Meetings
  • Provide administrative support for academic programs
  • Plan and coordinate events and functions
  • Develop and maintain CIS websites and Center materials; maintain departmental databases and related records, enter and/or verify transactions
  • Manage budgets, equipment, supplies and purchases; manage the Capital Market Trading Room
  • Assist in high level communication with faculty, students, staff, alumni, and industry professors
  • Utilize IT skills at a high level of competence.
  • Bring an understanding of graduate and undergraduate level educational mission
  • Ensure confidentiality and control access to sensitive information including student and financial data and reports
  • Perform other related duties as assigned or requested.

Preferred Qualifications

  • Strong project management skills with demonstrated ability in setting and meeting deadlines and with strong attention to detail.
  • Experience in event planning and execution, managing vendors for locations, facilities and catering.
  • Experience with maintaining and updating departmental budgets, processing reimbursements and managing purchase orders. Familiarity with systems like Workday, Concur.
  • Possess strong organizational, written and oral communication, and relationship building skills.  Must be able to keep all parties informed of project progress.
  • Must be a team player, comfortable with working in groups and collaborating.
  • Have ability to be flexible and adaptable in the face of changing priorities and fluctuating workloads.

Minimum Qualifications

  • Minimum Education: Bachelor’s degree; Combined experience/education as substitute for minimum education
  • Minimum Experience: 3 years
  • Minimum Field of Expertise: Secretarial or specialized clerical and administrative experience.
