Administrative and Logistics Assistant, USAID/West Bank & Gaza Accountable Local Governance (ALG) Activity

Project Background

USAID/West Bank and Gaza (WBG) Accountable Local Governance (ALG) Activity is a four-year, four months project that aims to improve the delivery of essential public services and to promote inclusive and accountable governance. The Activity interventions will improve service delivery, enhance the effectiveness of municipal operations, strengthen local government unit (LGU) fiscal management, and build resilience to shocks and stressors. The Activity will strengthen municipal responsiveness to citizens’ priorities and concerns, enhance civic engagement in local governance with a focus on under-represented and marginalized groups, and help connect LGUs, civil society, and other institutions to improve service delivery and enhance accountable governance.

Position Purpose

The Administrative and Logistics Assistant will ensure the efficient and accurate management of administrative operations within the project office. This role involves maintaining proper filing systems and ensuring compliance with both DAI and USAID regulations for all transactions.

Key Duties & Responsibilities

  • Maintain project files and documents.
  • Provide logistical support for project events and activities.
  • Perform receptionist duties, including handling telephone calls, email communications, and in-person inquiries, and relaying messages.
  • Conduct information searches using the internet and other sources.
  • Coordinate conferences, meetings, and both in-house and external events.
  • Take and distribute meeting notes.
  • Assist the Director of Finance and Operations with transportation and logistics coordination for staff and visitors.
  • Support consultants and project staff with administrative processes and requirements.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Oversee the purchase, receipt, and distribution of office supplies and stationery.
  • Provide additional administrative and operational support as needed.

Qualifications

  • Bachelor’s degree preferred and/or 2+ years of administrative assistance experience, or an equivalent combination of education and experience.
  • Experience using Microsoft Word, Excel, and PowerPoint.
  • Strong verbal and written communication in English and Arabic.
  • Previous experience working with international NGOs or donors, such as USAID-funded projects is preferable.
