Summary of Job Duties:

Administrative Analyst – Expense Coordinator is responsible for coordinating the UAMS expense request and reimbursement process, scheduling and attending meetings, receiving and responding to expense vendor inquiries. Prepares daily status reports. Creates and manages electronic continuity binders to assist internal and external departments with processes. Liaises with appropriate individuals to ensure expense website is current. Works directly for and with the Director of Procurement and Travel to ensure all administrative guides are current.
Responsibilities:
• Provides director with data daily, tracking processes that are completed each day and making the notifying director of any delays in processing multiple business processes.
• Provides data on a monthly basis, based on expense spend by vendor.
• Schedules meetings with expense vendors.
• Attends meetings with Procurement Director and takes minutes, tracking any follow-up items. Prioritizes necessary follow-up items to ensure urgent matters are addressed in a timely fashion.
• Ensures website is current and designs documents and forms, as necessary.
• Creates continuity binders for internal and external use, so all processes are standardized and uniform across campus.
• Prepares and compiles bid documents with the department, incoming bid requests and proposal responses, releasing, and advertisements of bids.
• Assists Expense Reimbursement Coordinators with processing spend authorizations by reviewing items in the inbox and assigning them to the appropriate individual.
• Performs other duties as assigned.

Qualifications:

Minimum Qualifications:

  • Bachelor’s Degree in a related field plus 1 year of administrative experience or Associate’s Degree plus three years of related experience or High School Diploma/GED plus five years of related experience
  • Ability to coordinate the contract documentation process
  • Ability to work in a team environment and manage multiple projects/tasks
  • Effective communication skills
  • Ability to work on a computer in an office setting for 8 hours per day

Preferred Qualifications: 

  • Two years of experience in travel and/or procurement or in a business setting with a focus on customer service, a variety of communication methods and office organization
