THE ROLE

The Role

The Faculty of Science and Engineering is currently seeking an Administration Officer. Reporting to the School Operations Manager, the successful candidate will be responsible to provide high level financial administrative advice and customer service contributing to the improvement of operational effectiveness for the School of Natural Sciences.   The role supports the School across the full scope of student and academic lifecycles including financial management, academic and professional staff and student administration.

About Us

The School of Natural Sciences at Macquarie University was established on 1 January 2022 through the amalgamation of the Departments of Biological Sciences, Molecular Sciences, and Earth and Environmental Sciences. The School is the largest in the Faculty of Science and Engineering and is a vibrant community of educators, researchers, administrators and students working across a wide range of biological, biomolecular, biomedical, chemical, environmental and geoscience disciplines.

Key Accountabilities

  • Prepare financial reporting for the school portfolio on expenditure against budget and project accounts including annual budget preparation.

  • Assist with annual budget preparation Provide financial, purchasing, procurement and travel administrative services and support to staff as required.

  • Coordinate and manage administration across the full employee lifecycle including recruitment, onboarding, leave and termination in accordance with applicable policies, procedures, and systems.

  • Gather, and review data and information to prepare reports or recommendations to meet internal and external requirements and inform department/school decision making.

  • Operationalise University and Faculty policies, processes, and systems, liaising with the shared-services centre and business partners as required.

  • Comply with relevant professional standards and codes of ethics and EEO and WHS regulations.

  • Perform any other duties as required and appropriate for this classification.

Salary package:  HEW Level 6 from $88,589 to $97,787 per annum, plus 17% employer’s superannuation.

Appointment Type: Full-time, fixed term up to 12 months (parental leave replacement). Flexible work arrangements, including part -time, job share, flexible start and finish times or partial work from home may be considered for this role.

Selection Criteria

  • A degree in business, finance or a related discipline and relevant experience. 

  • Demonstrated knowledge of finance and budgeting principles and practices with experience in administrating budgets and report preparation, analysing data and working with financial systems and reporting.

  • Demonstrated knowledge of and experience in working in a complex administrative environment, preferably within Higher Education.

  • Demonstrated experience in developing and or contributing to implementing administrative process improvement.

  • Strong customer service focus and ability to work and communicate effectively with a diverse range of stakeholders.

  • Demonstrated time management and organisational skills with demonstrated ability to coordinate and deliver on competing deadlines.
