About This Opportunity
We are seeking a resourceful, detail oriented and organised Administration Officer to support the effective and efficient operation of the Institute of Modern Languages (IML).
Reporting to the Director, the role is responsible for delivering a range of administrative processes in support of IML’s outcomes.
Key responsibilities will include:
Provides high level administrative support for the IML, in particular for projects, language courses, the translation service and other initiatives
Functions as the initial point of contact for enquiries from external and internal clients, professional staff and casual academics, including responding to routine and non-routine queries involving interpretation of policy and procedures
Assists with spreadsheet preparation for client billing, refund documentation, credit card reconciliations, purchase requisitions according to University financial policy and procedures.
Competently utilises a range of desktop-based programs and management information systems
Undertakes slightly complex data entry, retrieval, and document management processes for scheduling and payment of casual academics using the CAHP software
Liaises with internal and external stakeholders to maintain relationships which support the operational outcomes for the IM
Other duties as reasonably directed by the supervisor

About You
Candidates require effective administration, coordination and interpersonal communication skills, effective organisational and time management skills and be committed to providing a high level of customer service.
A degree or diploma with subsequent relevant experience or secretarial administrative experience or an equivalent combination of relevant experience and/or education training.
Demonstrated skills in providing a high level of customer service, including effective interpersonal skills.
Demonstrated high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook)
Effective organisational, time management and problem solving skills
Experience working as a team member in a busy environment.
Supervisory skills
Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge
What We Can Offer
This is a part-time (0.5FTE), fixed term position through until 10 January 2025 at HEW Level 5.
The full-time equivalent base salary will be in the range $72,212 – $80,430 plus super of up to 17%. The total FTE package will be in the range $84,488 – $94,103 per annum.
The following flexible employment options may be available for this role: some working from home and variable start or finish times.
