Position Overview This position provides and maintains faculty support operations, provides administrative support, and helps perform fiscal processes within the College of Law and is located in Moscow.
Unit Overview Founded in 1889, the University of Idaho is the state’s land grant university and is a comprehensive research institution with its main campus in Moscow. With a first year entering class of approximately 130 students, equally split between the two campuses, the University of Idaho College of Law is ranked as one of the “Best Value Law Schools” by Pre-Law Magazine. Position Responsibilities

Key Accountability To provide support for the University of Idaho College of Law Administrative Office – Boise by performing the following administrative functions:
Job Duties a) Serving as a main point of contact for walk-in traffic (students, faculty, staff, and visitors) in the Boise Administration Office by answering a wide variety of questions with the knowledge and understanding of complex University rules and procedures;
b) Directing visitors to the appropriate office or personnel; taking phone messages, assisting with mailings, shipments, and facsimiles;
c) Providing on-site back-up support for clinic/student services/development staff during absences and vacations;
d) Coordinating with Administration staff (in both locations) on office coverage;
e) Attending college staff meetings;
f) Participating in relevant professional development trainings and seminars.
Key Accountability To provide faculty support operations within the College of Law Boise by performing the following:
Job Duties a) Operating and maintaining faculty support services, using various word processing programs to produce a variety of documents, including but not limited to, correspondence, articles, publications, course materials, course assignments, exams, and casebooks;
b) Coordinating with the Administration/Faculty Support staff on the preparation, reproduction, and proctoring of law school exams under the direction of the Exam Coordinator/Faculty Assistant in Moscow; managing spaces for exams and assigning proctors as needed; coordinating accommodated exams and rescheduled exams;
c) Coordinating with the Textbook Coordinator/Faculty Assistant in Moscow on the collection and ordering of course materials, textbooks, course packets, etc. and the preparation and publication of the semester booklist;
d) Proofreading, designing, editing and composing documents with difficult formats and/or legal terminology; compiling, researching, analyzing and/or summarizing information for reports;
e) Supporting and troubleshooting faculty use of office machinery, course management systems, and word processing and spreadsheet software;
f) Assisting faculty with course management by creating course distribution lists, emailing class assignments and cancellations, providing class rosters, assisting with Canvas and BARBRI
assignments; collecting and returning assignments; photocopying; scheduling student meetings as needed.
g) Managing student course evaluations and coordinating with the Administration/Faculty Assistants in Moscow to ensure distribution to faculty;
Key Accountability To provide financial operations support within the College of Law Boise, not including clinic and student services fiscal processes, by performing the following:
Job Duties a) Providing travel arrangement/fiscal support to college faculty, staff, students, and visitors in accordance with the university rules and procedures;
b) Making flight arrangements;
c) Reserving lodging accommodations;
d) Preparing ST104 Sales Tax Exemption Forms;
e) Preparing and following up on credit card authorizations;
f) Reserving rental cars as needed;
g) Processing conference registrations;
h) Creating trips within the Chrome River Travel system;
i) Managing and providing fiscal support to college faculty, staff, students, and visitors by processing travel reimbursements, purchasing card claims and statements, and claim vouchers;
j) Coordinating with student organizations on fiscal needs in accordance with established Student Bar Association and College of Law processes and procedures;
k) Managing and maintaining college purchasing card(s);
l) Attending fiscal staff meetings and training sessions.
Key Accountability To provide additional support to the College of Law Administration and Financial teams by providing the following:
Job Duties a) Providing website maintenance by reviewing and updating web pages using Sitecore while complying with policies, standards, and laws for the university;
b) Providing notary services;
c) Assisting with the scheduling of space within the College of Law using the 25Live reservation system;
d) Coordinating with UI Boise on Vandal Card update;
e) Performing additional duties within the Administration office as needed, determined by the Administration Office Manager;
f) Performing additional financial related tasks as required, as determined by the Administration Office Manager or the Finance Director.

Position Qualifications

Required Experience – At least 2 years experience working in an academic setting or general office providing administrative support.
– Experience using word processing, spreadsheet, email software and centralized computer information systems.
– Coordinating activities requiring complex arrangements.
Required Education – High School Diploma or equivalent
Required Licensures, Certifications or other
Additional Preferred – Working knowledge of Banner modules and/or Chrome River software
– Enjoy customer service and diversified daily routine.
– Ability to interact with diverse individuals in a clear, concise and positive manner; to communicate effectively orally and in writing; to listen carefully and patiently and ask clarifying questions.
– Ability to take initiative to plan and complete assigned projects; recognize errors and solve problems to make improvements short and long-term.
– Experience working in a higher education or legal setting.
– Strong working knowledge of effective use of email and etiquette considerations.
