Job Summary
Operations and Analytical Support
• Manages, plans and administers a range of administrative operations in a small to medium academic department, or a small to medium non-academic department or program.
• Serves as the operations analyst and primary contact for IT, facilities, purchasing and other services for the PEM division and faculty.
• Provides analytical support in all areas of the division’s operations, including clinical data, physician performance data, financial data and/or clinical revenue data. Produces daily, quarterly and annual reports of all metrics as requested bythe PEM Chief and department leadership to support quality improvement efforts and decision-making. • Analyzes internal systems, records and processes to best utilize division resources and provides recommendations to management on ways to improve daily operations; develops new approaches and solutions to complex problems. Conducts research, develops and implements new and changing business processes. Assesses and recommends changes to maintain compliance with federal, state and UCSF requirements and policies.
• Represents and supports the operations and logistics of the PEM division at all sites, helping to achieve the objectives, activities and goals of the division and department.
• Coordinates with DEM HR liaison on logistics for new PEM employees, which include, but is not limited to, email and VPN set-up, site orientation, phone, computer and workstation set-up and any other site specific questions. Manages key distribution, key tracking, badge access and division space.
• Performs and/or oversees special projects or assignments that are sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation. May be asked to lead process improvement initiatives.
• Assists PEM faculty members in updating CVs, arranging meetings, processing expense reimbursements, and calendar management. PEM Division Chief Support
• Oversees the design, implementation and maintenance of all administrative systems for smooth and efficient operation of the Chief’s office, including the Chief’s calendar, travel and correspondence.
• Coordinates, prepares, edits and/or composes correspondence, abstracts, grant proposals/applications, letters of support, nomination packets, book reviews and professional papers.
• Organizes ad hoc committees appointed by the Chief on a broad range of issues. Responsible for assisting the Chief in planning of the logistics of meeting which may include arranging schedules, room reservations, refreshments/food and preparation of meeting minutes.
• Provides administrative support to the PEM Chief and PEM faculty.
Department Description
UCSF’s Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
