Job Title: Accounts Payable Specialist
Job Description
We are seeking an experienced Accounts Payable Specialist to join our team. In this role, you will facilitate the matching of invoices with corresponding Purchase Orders (POs) and supporting documentation, request approvals for invoices through our digital portal, and review Accounts Payable (A/P) vouchers and Purchase Orders (POs) prepared by clerical personnel. You will validate invoices for accuracy, collaborate with site staff and vendors to resolve billing discrepancies, and capture applicable discounts to optimize cost savings. Additionally, you will handle A/P phone inquiries, process employee expense claims, review supplier statements, reconcile and distribute petty cash account activity, and undertake various other assigned tasks.
Responsibilities
Facilitate the matching of invoices with corresponding Purchase Orders (POs) and supporting documentation.
Request approvals for invoices through our digital portal, liaising with Division or Project Managers as needed.
Review Accounts Payable (A/P) vouchers and Purchase Orders (POs) prepared by clerical personnel, ensuring compliance with P.O. balances and terms.
Validate invoices for accuracy in terms of price, quantity, and services billed.
Collaborate with site staff and vendors to swiftly resolve any billing discrepancies that may arise.
Capture applicable discounts where applicable to optimize cost savings.
Handle A/P phone inquiries, providing accurate and timely information to internal and external stakeholders.
Process and review employee expense claims with precision and efficiency.
Conduct comprehensive reviews of supplier statements to pinpoint and rectify any account discrepancies.
Administer the reconciliation and distribution of petty cash account activity, promptly replenishing accounts as needed.
Undertake various other assigned tasks with diligence and a results-oriented approach.

Work Environment
The work environment is positive and collaborative, with a family-like culture and regular events such as monthly BBQs. The role offers a good work-life balance with opportunities for career growth and educational advancement. The company takes mental health seriously, providing access to a free in-house therapist with unlimited visits. Safety is a priority, and employees get to work on a variety of projects. The working hours are from 8am to 5pm, totaling 40 hours per week. The location is Mississauga, Ontario, with the first three weeks requiring five days a week in the office, transitioning to three days a week in the office based on performance. The mandatory in-office days are Tuesday and Wednesday. The dress code is business casual, and the team size is six members.
Pay and Benefits
The pay range for this position is $20.00 – $25.00/hr.
