Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from 09/13/2022 through 09/19/2022 and open to external applicants thereafter.

 

TheAccounting Support Specialist CL3 provides excellent in person customer service for the Office of the Bursar, requiring a diverse knowledge of student accounts, student records and financial aid.  Assists students and parents with problem resolution related to billing in compliance with the University of Maine’s policies and procedures in regard to student account confidentiality.  Processes payments and accepts deposits for students and departments. Full-time, regular position, 40 hours per week, 5 days per week. Daily work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. This position pays $19.02/hour or appropriate transfer rate for a current employee within the ACSUM collective bargaining unit. 

 

Essential Duties & Responsibilities:

 

  • Acts as first point of in-person contact for customers of the Bursar’s Office.
  • Provides service and assistance to students and parents regarding a wide range of complex issues related to student billing, including, but not limited to:
    • Analysis of accounts
    • Interpretation of UMS billing, student financial aid and student records policies and practices
    • Resolution of questions regarding 1098T reporting
    • Future cost estimates
  • Accepts and accurately records student payments and departmental deposits.
  • Calculates and prepares manual refunds for student accounts not able to be refunded by the batch process.
  • Reviews student service indicators and removes/revises as needed. 
  • Provides customer support on phones regarding non-routine questions, issues and procedures.
  • Provides administrative support to the office, to include processing returned mail, and scanning documents to the shared drive.
  • Serves as backup of other Bursar Office staff.
  • Develops and maintains professional relationships that reflect courtesy, civility, and mutual respect.
  • Performs other reasonably related duties as assigned.

Required:

  • Typically has the education associated with at least high school diploma plus 60 credits or more of higher education or equivalent work experience and training.
  • Two years accounting support experience.
  • Effective written, oral, electronic, and interpersonal communication skills.
  • Demonstrated skills in prioritization, workload management, and multi-tasking.
  • Demonstrated skills in operating office equipment.
  • Knowledge of customer service principles and experience providing exemplary customer service.
  • Effective communication and interpersonal skills as applied to interaction with coworkers, supervisor, students and the general public.
  • Experience working independently and as part of a team and exercising sound judgement.
  • Competence with personal computer spreadsheet software such as MS EXCEL.
  • Good understanding of basic accounting or bookkeeping
