Academic Facilities Specialist

Job Description

Under general supervision, coordinates the facilities functions related to the College of Health Solutions. These functions include but are not limited to coordination of key assignments, combination lock codes and Lenel/ISAAC system access; maintains facilities information databases; assigns space for employees; coordinates building maintenance; and other functions as designated by unit administrator.

Essential Duties

  • Works closely with the College of Health Solutions and university administration to coordinate all departmental facilities activities to ensure adherence with college and university policies, practices and regulations.
  • Researches building database for available space and coordinates room assignments for all incoming staff and faculty, as well as for new postdoctoral hires and research assistants.
  • Performs clerical functions with personal computer and appropriate software for all activities associated with issuing keys, assigning codes for combination locks, activating ISAAC card access, and handling purchase orders and invoices.
  • Maintains detailed databases with appropriate software for room assignments, key information, issued codes, and card activations.
  • Works closely with the key office to provide documentation for lost keys.
  • Maintains security levels by frequent follow-up on key returns and removal of codes and access when no longer needed. Works closely with facilities team and other designated individuals to resolve any issues regarding space assignments and access.
  • Participates in a variety of departmental meetings to represent space assignments and security issues and ensure all policies and processes are adhered to.
  • Reports building maintenance problems and related issues to FACMAN and coordinates repairs and resolution. Supervises student workers, when needed.
  • Assigns work projects and sets schedules.
  • Performs other duties as assigned to ensure continual efficient operations of department to meet customer service needs.

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND two (2) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Demonstrated knowledge and experience in using Dropbox, Google Drive, Google Docs and Google Sheets
  • Experience in Facilities management at ASU or other higher education institutions
  • Experience in performing small maintenance tasks such as assembling office furniture and/or lab equipment
  • Experience in work that requires attention to detail
  • Evidence of effective communication with stakeholders, including faculty and staff
  • Experience in handling confidential information

Working Environment

  • Use basic math
  • Required to stand for varying lengths of time and walk moderate distances to perform work
  • Ability to clearly communicate 
  • Regular activities require ability to quickly change priorities, may include/subject to resolution of conflicts
  • Use of software/computer equipment for extended periods of time
  • Use an ASU or personal vehicle to travel to different campuses
  • Ability to lift and transport 50-100 pounds
  • Frequent bending, reaching, lifting, pushing and pulling up to 50-100 pounds
  • May be required to work in outdoor environment exposed to the elements while transporting equipment.

Our programs are offered at ASU’s Downtown Phoenix, Tempe, Polytechnic, West and Lake Havasu campuses, as well as on Mayo Clinic’s campus in north Phoenix.
