Job Summary

The Administrative Assistant 3 will provide administrative support to an assigned set of clinical physicians within the Department of Neurosurgery. The incumbent will be responsible for supporting various departmental program activities and providing academic administrative assistance to assigned faculty members. The AA3 will perform administrative tasks including but not limited to managing calendars, formatting manuscripts and presentations, updating CVs, coordinating conferences, meetings and travel, processing reimbursements, generating correspondence, and assisting with preparation of teaching materials. In addition, the individual will interact with all levels of Departmental and UCSF personnel, which include physicians, clinical/technical/campus staff, vendors, and patients. This position also requires other academic responsibilities, such as credentialing, managing fellowship interviews, volunteer processing, transcription, purchasing supplies and processing reimbursements, answering phones, gathering mail and facility maintenance. The individual must possess superb communication and organizational skills, and advanced proficiency of word processing and computer skills. Perform other duties as assigned.

Department Description

The Department of Neurosurgery at UCSF is one of the most pre-emanate neurosurgical departments in the country for clinical care, training and research. The Department is one the largest recipients of Federal grant funds in the School of Medicine, UCSF and has been number one in NIH funding for the past 13 years. The department is number one academic research publication productivity and recently named as one of the top Neurosurgery Training Programs in the country. The Department also ranks 2nd in the nation for Neurosurgery & Neurology and is the number one Neurosurgery Department on the west coast (US News & World Report).

Required Qualifications

  • Graduation from high school and a minimum of four year’s related experience, or an equivalent combination of education and experience. 
  • Demonstrated Proficiency with Computer Skills– Microsoft Word, Excel, PowerPoint, Outlook, Internet searches.
  • Prior experience organizing meetings, including travel arrangements, logistics and expense reimbursement
  • High degree of interpersonal judgment along with the ability to work well as part of an administrative team with a customer-service orientation towards co-workers and faculty
  • Ability to work in a fast-paced environment while remaining flexible to change
  • Excellent written and verbal communication skills for correspondence to a diverse audience
  • Excellent organizational and time-management skills; Must be able to juggle calendar systems and make travel arrangements
  • Demonstrated positive attitude, initiative, integrity and enthusiastic spirit
  • Demonstrated ability of high degrees of confidentiality and discretion
  • Ability to work independently and as a team player with individuals at all levels
  • Ability to prioritize and multi-task effectively with interruptions, deadlines and pressure
  • Demonstrated excellent attendance and reliability

Preferred Qualifications

  • BA/BS with a major in a related field and four years of experience of providing administrative support in a fast paced environment.
  • Purchasing & Accounting Skills Prior experience with My Expense, My Reports and Bear Buy  
  • Familiarity with working in a public health environment
  • Prior related UC experience
  • Prior experience working in an academic, teaching environment
