Job Summary Deliver individual and group academic advisement to current and prospective PhD and MS graduate students new to UT Arlington. Assists with the planning and delivery of an academic advising initiative, conducts proactive outreach, provides interventions for students with academic early alerts, and lends additional support to students on academic warning/probation. Responsible for facilitating the exchange of academic and technical information. Provide professional advisement to enhance the academic experience, student retention and completion.
Essential Duties and Responsibilities
  • Conduct academic advising for current and prospective PhD and MS graduate students utilizing multiple modalities such as in-person, virtual, phone, and email.
  • Provide guidance on academic topics such as degree requirements, relevant course selection, and provide students with assistance in setting and achieving educational and career goals.
  • Help graduate students make informed academic decisions teaching them how to track their own academic progress, locate and interpret appropriate policies, and to utilize the tools and resources available.
  • Monitor the academic progress of a graduate student caseload. This includes proactive outreach to provide students with just-in-time assistance.
  • Conduct verification of degree progress, removal of holds, and approval of various forms to ensure timely student progression, etc.
  • Analyze and interpret graduate student data, transcripts, and placement results.
  • Enter advising notes into MyMav following best practices for documenting student appointments/contacts.
  • Assists graduate students in the onboarding process of Paperwork Sessions, Compliance Training, getting an office, setting up parking, getting keys/card access, etc.
  • Resolves any discrepancies and communicates with students, HR, and Payroll.
  • Maintains personnel records for graduate students including recruitment forms, appointments, change of status, terminations, and performance evaluations.
  • Responsible for student service indicators and tuition disbursement forms at the beginning of each semester.
  • Resolves any tuition discrepancies and communicates with the students, Student Accounts, and Financial Aid.
  • Adds Instructor of Record assignments in MyMav for graduate courses.
  • Assigns research sections to faculty. Arranges recruiting meetings, conferences, and workshops, prepares the agenda and provides refreshment services.
  • Composes complex correspondence, memorandums, and fliers to distribute to the department and other entities.
  • Serves as administrative liaison with other departments on campus and outside organizations and agencies concerning administrative policies, procedures, and practices.
  • Requests updates to the department website for changes in personnel and department events.
  • Maintain a clear understanding of all applicable federal, state, and University policies and procedures.
  • Keep abreast of relevant academic programs and support services such as counseling and tutoring within a College and University and provide appropriate referrals to students.
  • Participate in meetings, professional conferences, and individual professional development. Performs other duties as assigned.
Required Qualifications Bachelor’s degree. Two (2) years of experience working with college students or adolescents in an advising capacity or the equivalent experience. Demonstrated willingness and/or experience working collaboratively with students and/or co-workers from a wide range of abilities, backgrounds, and experiences.
Preferred Qualifications Master’s degree is strongly preferred. Two (2) years of experience as an academic advisor at a public R1 University. Federal, state, and local policies and procedures governing academic advising functions; and resources provided by academic advising associations such as NACADA and TEXAAN. A working knowledge and ability to utilize the University Catalog is essential. Student advocacy; written and verbal interpersonal communication; organizing information and projects; problem solving; adhering to deadlines; taking initiative; student recruitment and outreach; and navigating student information systems.Work professionally, collaboratively, and independently; and proficiently use Microsoft Office Programs such as Word, Excel, PowerPoint, Teams, SharePoint.
Working Conditions Standard office setting. Repetitive use of keyboard. Ability to travel to different campus locations. May include remote and virtual academic advising work outside an office.
