About the Role:
The Academic Advisor is responsible for providing high-quality advising on academic program requirements and monitoring academic progress of students in all undergraduate and professional programs within the Faculty of Education. This includes potential domestic students, transfer students, international students, exchange students, students doing a minor in the program and students looking to change their major. The incumbent is also responsible for conducting degree audits, coordinating LOP applications and transfer credits, supporting events and recruitment initiatives, supporting readmissions, and adjudicating and monitoring the registration system.
The Academic Advisor will:
- Perform academic advising for students in all undergraduate and professional programs within the Faculty of Education;
- Review student program planning, including course selection and program/faculty/ university requirements;
- Inform students about prerequisite requirements, and course restrictions and introduce them to the advising services available;
- Identify and handle program re-sequencing requests and leave of absence within limited enrollment programs, working in conjunction with the manager;
- Respond to email, telephone, and in-person inquiries;
- Manage advising appointments both virtually and in person, opening appointment times and tracking student requests and inquiries;
- Understanding requirements for external professional groups, including the Ontario College of Teachers and the College of Early Childhood Educators;
- Coordinate letters of permission applications, transfer credits, and exchange course approvals in collaboration with Chairs/Directors and/or others requiring input;
- Participate in classroom presentations and orientation sessions to support success as related to advising;
- Attend student recruitment events including the Ontario Universities’ Fair, Fall Preview Day, Spring Open House and others as needed representing the assigned programs and/or faculties;
- Participate in the consistent collection of data across campus on academic advising, student satisfaction and advising outcomes;
- Assess and provide feedback to the Dean’s Office and the Office of the Registrar & Enrollment Services on gaps in the curriculum impacting student success, retention, and completion;
- Provide insight to the Academic Review Committee for proposals.
Key Skills and Experience:
- An undergraduate degree in a related field;
- Experience with academic advising in a post-secondary environment;
- Knowledge of academic advising, including advising models, theories, and techniques, and counselling theories;
- Understanding of the undergraduate course calendar, course offerings, prerequisites, and class scheduling for the Department/Faculty;
- Knowledge of University regulations, policies, strategic initiatives, programs, services and systems;
- Strong active listening, verbal, written and interpersonal skills;
- Ability to coach, mentor, and motivate students;
- Ability to interact effectively with persons from diverse backgrounds and support equity-deserving groups as needed;
- Demonstrate patience, empathy and understanding with the ability to communicate sensitive information tactfully and diplomatically;
- Excellent creative problem-solving, organizational and multi-tasking skills;
- Excellent prioritization and record-keeping abilities;
- Adaptability and the ability to learn quickly and apply new knowledge.
Preferred or Asset Skills:
- Degree from within a relevant program preferred;
- Having experienced a non-linear path or challenging experience with academics.
Salary and Total Rewards
- Job Grade (K), Salary Scale ($57,400-$98,400)*;
- Target Hiring Range: $57,400-$61,000;
- This position includes full comprehensive benefits and tuition waiver.
