The University of Florida, George A. Smathers Libraries seeks a Metadata Assistant to support the Metadata Unit with large-scale metadata enhancement projects. Focusing on the University of Florida Digital Collections (UFDC), the Metadata Assistant will support platform-wide metadata updates under the direction of the Metadata Librarian. The Metadata Assistant position requires a high level of critical thinking and analysis skills to identify and report metadata errors.  Outstanding records management capacity and keen attention to technical details are musts for this position. Tasks include data entry, learning new programs to perform batch editing, performing online searches for digital content, and reviewing the accuracy of incoming and existing metadata. Under the direction of the supervisor, this position tracks activities and provides statistical reports.

Data entry will be carried out using established metadata standards and platforms commonly used across the UFDC system.  Training will be provided in the use of specialized software programs and adherence to metadata standards.

Participates in large-scale metadata enhancement projects

  • Performs metadata enhancement across batches of UFDC records using semi-automated editing tools like Auto Clicker and Tiny Task, and works with XML batch editors, eg. Oxygen XML Editor and libraries’ homegrown digital assets management tools
  • Reviews identified metadata issues, initiates discussions, proposes solutions and documents workflows
  • Follows departmental procedures to properly document and track project progress
  • Tracks information regarding updates and time used for reporting purposes

Performs metadata quality control

  • Reviews OCLC records, metadata ingest Excel sheets and UFDC records to ensure UFDC records are accurate, complete, and up-to-date based on the project requirements
  • Performs data entry in UFDC, OCLC Connexion and Alma to assist with data correction and updates
  • Tracks information regarding updates and time used for reporting purposes

Collaborates on bibliographic maintenance projects                                                  

  • Collaborates with RDS bibliographic control group to maintain the quality of metadata records across library platforms that include but not limited to UFDC, OCLC Connexion and Alma
  • Provides internal reports and platform knowledge to facilitate the planning of bibliographic control clean-up projects


  • Participates in special projects and performs other duties as assigned.
  • Serves on library committees as appointed and participates in staff development opportunities.
  • Maintains a course of professional development.
Expected Salary:

$16.73 minimum hourly rate; The Smathers Libraries offer a salary commensurate with experience and credentials  

Minimum Requirements:

High School diploma or equivalent and three years of library, or relevant experience; or an Associate’s degree and one year of relevant experience; or any equivalent combination of experience, training and/or education

Preferred Qualifications:
  • Commitment to contributing to a respectful and caring community for all, including individuals of diverse backgrounds, experiences, races, ethnicities, gender identities, sexual orientation, and perspectives
  • Experience with XML and data editing tools, eg, Oxygen XML Editor, Notepad ++, Auto Clicker
  • Metadata enhancement or library or related clerical/customer service experience
  • Evidence of excellent interpersonal skills including oral and written communication
  • Ability to plan, organize and maintain documentation
  • Keen attention to details
  • Knowledge of Windows OS computers and Microsoft Office software
  • Ability to work both independently and collaboratively to accomplish goals
  • Flexibility, and ability to adapt and work in a rapidly changing academic environment
