Job Description:

The department is seeking energetic and dedicated individuals whose focus is on scanning patient documents, managing patient phone calls, handling telephone coverage, maintaining patient database (Epic), and providing prior authorizations for drugs, procedures and refill requests. Additionally, faxing reports and records, answering access center calls, scheduling, setting up conferences, reminder phone calls, and rescheduling patients.

Patient Service Support: Provides medical documentation to obtain insurance authorizations for procedures and Pediatric medications, as needed. The incumbent will assist with handling follow-ups with insurance companies to make sure prior authorizations are being worked on and will keep patients informed on the status. This role will inquire about patient’s co-pay, inform patients on the progress or potential problems with getting PA approval. This position is also responsible for communicating with a provider if there are issues with obtaining authorizations and is expected to state a clear reason why the patient PA’s request was not successful.

 – Administrative Support: Screens and triage all correspondence (mail, telephone, electronic, etc.) for the Division Chief, under the supervision of the Administrative Manager, independently responding to items of non-technical nature. Processes requests for deposition from law offices and/or government entities. Assist with tracking administrative leave for faculty and clinic staff, coordinating travel for faculty and clinical staff, and processing travel authorizations and expense reports. The incumbent will also schedule meetings, including securing conference rooms and confirming attendees.

 – Customer Service: Answers a multi-line phone system, document patient-related messages in the electronic medical record and send to appropriate medical professional for follow up. Schedule routine outpatient clinic appointments. Update patient electronic medical record, including demographics, insurance, and provider information. Provide direct, real-time phone triage, patient services and problem-resolution including registration and scheduling, with an emphasis on timely, seamless, patient-centered service. Perform scheduling/registration interview to facilitate scheduling for new/return patient appointments. Update information in GE/IDX, Epic or other systems as outline in clinic-specific protocols. Maintain a working knowledge of UF, UFP and Shands policies, ENT specialty triage and scheduling protocols for multiple providers.
 – Medical Records Maintenance: Scans paper medical records into patient electronic medical record.  Processes requests for medical records that require payment. Acts as a backup to other office personnel, as needed. Performs additional clerical duties and projects as assigned by the supervisor.

Advertised Salary:

$16.00 to $18.00 per hour; commensurate with qualifications and experience

Minimum Requirements:

High school diploma or equivalent and experience working in a medical office or call center.

Preferred Qualifications:

– One year of relevant experience
– Medical office experience
– Experience in a medical call center
– Excellent written and verbal communication skills

– Excellent interpersonal, customer service

Special Instructions to Applicants:

Normal work hours are 8:00am to 5:00pm, Monday through Friday.  Any schedule deviations and overtime work must be discussed with and approved in advance by the the Divisional Administrator.
